About the Company
A leading Interior Design and Fit-Out company in Dubai is seeking an experienced, detail-oriented Admin Executive to take full ownership of corporate compliance, licensing, and asset administration.
Role Overview
This is a pure administrative role – not a receptionist position – focused on managing critical company renewals, fleet documentation, and coordination with operational teams. The successful candidate will be a proactive gatekeeper of deadlines, ensuring all government, corporate, and vehicle documentation is renewed well ahead of expiry to maintain uninterrupted business operations.
Key Responsibilities
- Corporate & License Renewals: Proactively track, manage, and execute the timely renewal of corporate trade licenses, establishment cards, chamber certificates, and related government compliance documentation.
- Fleet Documentation & Compliance: Oversee the complete administrative lifecycle of the company fleet. Track vehicle registrations (Mulkiya renewals), coordinate with the Fleet Supervisor for timely RTA inspections, and manage toll (Salik), fines, and fleet insurance.
- Deadline & Expiry Management: Maintain a foolproof, centralized digital tracking system for all critical company expiries (visas, insurances, leases, licenses). Generate advanced alerts and action plans before expiries occur.
- Vendor & Utility Administration: Manage renewals for corporate office leases, warehouse agreements, corporate insurance policies, and utility/telecom accounts.
- Operational Reporting: Provide regular administrative status reports to senior management regarding compliance risks, upcoming renewals, and fleet overheads.
- Any other task that management assigns.
Required Skills & Competencies
- Education: Diploma in Business Administration, Commerce, or a related field.
- Experience: At least 2 to 4 years of pure administrative or operations experience in the UAE, ideally within the Fit-Out, Construction, or Logistics sectors. A stable and consistent career history is required.
- Core Competencies: Obsessive attention to detail. Exceptional tracking, scheduling, and organizational skills.
- Technical Skills: Working or basic proficiency in MS Excel (for tracking sheets, making and maintaining records) and experience handling digital government portals (DED, RTA, GDRFA/MOHRE).
- Communication: Very strong professional communication skills to effectively coordinate with internal stakeholders, fleet supervisors, and external corporate service partners.
