Role Overview
The Sales Accounts Coordinator is a key role within the sales department, acting as the operational backbone for all customer-facing financial and administrative activities. You will be responsible for ensuring timely payment collection, maintaining accurate customer account records, generating sales reports and forecasts, and serving as the primary point of communication between SMITHS and our domestic and international customers on all account-related matters.
This role requires excellent English communication skills, proficiency in ERP systems (NetSuite preferred), and a proactive approach to follow-up and problem resolution. You will work closely with the Head of Sales, CEO, and our external accounting partner to ensure seamless financial operations across all sales channels.
Key ResponsibilitiesAccounts Receivable & Customer Follow-Up
- Proactively follow up with all key retail, e-commerce, and distribution customers on outstanding payments and account balances
- Maintain and reconcile Statements of Account for all active customer accounts
- Track payment schedules, delays, deductions, rebates, promotional chargebacks, and credit notes
- Prepare clear escalation summaries for management where discrepancies remain unresolved
- Coordinate with customer finance departments to ensure timely release of recovery payments
Sales Reporting & Forecasting
- Prepare weekly and monthly sales performance reports using data from NetSuite ERP
- Develop and maintain sales forecasts by channel, product line, and customer segment
- Track sales targets and provide variance analysis to the Head of Sales and CEO
- Monitor e-commerce platform performance and identify trends or concerns
- Generate custom reports as required by management for strategic decision-making
Export Sales Coordination
- Support international sales operations by maintaining export customer account records
- Follow up with export clients on payments, shipping documentation, and order status
- Coordinate with internal teams to ensure export documentation is complete and compliant
- Maintain organized records for all export transactions and correspondence
Data Entry & Documentation
- Ensure all sales invoices, credit notes, and supporting documents are accurately entered into NetSuite
- Maintain organized, audit-ready documentation for all customer accounts
- Act as the first line of quality control on sales data before it reaches external accounting partners
- Keep customer master data current and accurate within the ERP system
Customer Communication
- Handle all professional English email correspondence with customers on account-related matters
- Maintain clear written trails and trackers for all customer interactions
- Serve as the primary point of contact between the sales team and customer finance departments
- Provide structured weekly issue logs and account status updates to management
RequirementsEssential
- Minimum 3 years of experience in a sales accounts, sales administration, or commercial coordination role within the FMCG, distribution, or retail sector
- Fluent professional English, both written and spoken — this is non-negotiable
- Demonstrated proficiency in NetSuite ERP or equivalent enterprise system (SAP, Oracle, Microsoft Dynamics)
- Strong data entry skills with high accuracy and attention to detail
- Experience with accounts receivable processes, customer reconciliation, and payment follow-up
- Ability to prepare professional sales reports, forecasts, and financial summaries
- Excellent organizational skills with the ability to manage multiple customer accounts simultaneously
- Proactive, self-directed work style with strong time management and prioritization skills
- Proficiency in Microsoft Excel and Google Sheets
- Available during UAE business hours (Sunday to Thursday)
Preferred
- Experience working with modern trade retail accounts in the UAE or GCC
- Familiarity with e-commerce platform account management (marketplace operations)
- Experience with export documentation and international trade processes
- Arabic language skills (an advantage but not required)
- Experience working in or with Dubai-based companies
