Location: UAE
Salary Budget: AED 6000 (Only candidates who fit this budget will be considered)
UAE Experience: Mandatory
Availability: Candidates currently in UAE will be preferred.
Key Responsibilities
1. Document Control & Governance
- Maintain and update the Document Control Register with accurate version control, metadata, and naming conventions.
- Manage and enforce document control standards for submittals, transmittals, RFIs, NCRs, MIRs, ITPs, method statements, and drawings.
- Conduct regular audits to identify missing documents, outdated revisions, or duplicate records.
2. Workflow & Distribution
- Log, route, and track submittals as per internal and client review workflows and SLAs.
- Coordinate timely issuance of IFC/IFR drawings, specifications, and change orders to site teams, subcontractors, and consultants.
- Monitor review cycles, follow up on pending actions, and issue weekly/monthly document status reports.
3. Systems & Platforms
- Administer EDMS/CDE platforms such as Aconex, Procore, SharePoint, BIM 360/ACC, Asite, or similar.
- Manage access rights, folder structures, workflows, templates, and system configurations.
- Support data migration, backups, archiving, and compliance with client/company information management standards.
4. Quality & Compliance
- Ensure all documentation meets project, client, contractual, and ISO?aligned QA/QC requirements.
- Prepare project close?out documentation, including handover files, O&M manuals, as?built records, and final dossiers.
- Support internal and external audits and contribute to improvements in document control processes.
5. Stakeholder Coordination
- Serve as the main point of contact for all document-related queries.
- Guide users on document naming conventions, workflows, and submission standards.
- Liaise with design, construction, procurement, and commercial teams to ensure documentation completeness and traceability.
Qualifications & Experience
- Proven experience as a Document Controller within UAE, preferably on infrastructure, roads, highways, utilities, or construction projects.
- Practical experience with at least one major EDMS/CDE:
Aconex, Procore, SharePoint, BIM 360/ACC, Asite (mandatory).
- Strong understanding of project documentation such as RFIs, ITPs, NCRs, method statements, and drawing registers.
- UAE experience is mandatory.
- Candidates with purely assistant-level or support-only experience may not be suitable.
