Bekko Properties is seeking a highly organized and experienced Senior Real Estate Administrator & Sales Coordinator to support the operational backbone of our sales department.

This role goes beyond basic administration. You will be responsible for maintaining data integrity, ensuring smooth deal progression, and providing operational support to high-performing real estate agents.

Key Objectives

  • Pipeline Velocity: Ensure all deal documents (Form A, B, F) are processed within 24 hours of receipt.
  • Data Integrity: Maintain 100% accuracy in CRM data including listings, leads, and deal stages.
  • Developer Relations: Manage developer registrations and NOC processes to avoid delays in off-plan and secondary market transactions.

Key Responsibilities

Listing Management

  • Oversee listing quality across major portals including Property Finder, Bayut, and Dubizzle.
  • Ensure all listings have valid Trakheesi permits and high-quality media.

Deal Conveyance

  • Manage the full sales progression from MOU (Form F) to property transfer.
  • Coordinate with Trustee Offices, banks for valuations, and developers for NOCs.

CRM Management

  • Monitor and audit agent activity logs daily.
  • Ensure leads are properly tagged and deal stages are updated accurately for management reviews.

Developer Portal Management

  • Manage company accounts with developers such as Emaar, Damac, Nakheel, and Sobha.
  • Support agent access and assist in commission claim processes.

Reporting

  • Assist the General Manager with weekly performance reports, including KPIs, conversion rates, and pipeline value.

Agent Onboarding

  • Coordinate the operational onboarding of new agents.
  • Ensure access to email, CRM systems, and developer portals on their first day.

Requirements

  • Experience: Minimum 5–7 years of Dubai real estate administration or conveyancing experience.
  • Regulatory Knowledge: Strong understanding of RERA regulations, Dubai Land Department systems, Dubai REST App, and Trakheesi.
  • Technical Skills: Advanced experience with CRM systems (PropSpace, Brokerpad, Salesforce or similar)and Microsoft Excel (pivot tables, reporting).
  • Language: Fluent English is required.
  • Personality: Highly organized, assertive when following up with agents, and able to perform well under pressure during month-end closings.

Preferred

  • Turkish language skills are a strong advantage.
