Role Overview
As a Trainee Import/Export Specialist, you will learn the end-to-end mechanics of international freight movement while supporting daily operational transactions. You’ll prepare shipping documentation, verify compliance with customs rules, and coordinate with internal teams and overseas offices to keep shipment data accurate and current. Your attention to detail helps the company avoid costly delays, maintain regulatory compliance, and deliver a dependable service experience to customers.
Key Responsibilities
- Administer day-to-day import and export activities, ensuring shipments move through the pipeline smoothly and in line with defined service standards.
- Prepare and review customs entries, shipping documentation, and supporting records to align with internal policies and local customs regulations.
- Calculate duties, tariffs, price conversions, and shipment weights or volumes for merchandise moving to and from foreign destinations.
- Draft, distribute, and archive all necessary import/export paperwork so that every shipment has a complete, traceable file.
- Cross-check invoices and shipping documents for accuracy and compliance with federal regulations, flagging discrepancies for correction.
- Monitor shipment status in relevant IT systems and update records so that internal stakeholders have reliable, real-time visibility.
- Collaborate with customer service, product, sales, and overseas offices to verify shipment information and resolve recurring operational issues.
- Identify opportunities to improve import/export workflows and recommend practical enhancements that boost efficiency and effectiveness.
Requirements & Qualifications
- Bachelor’s degree or equivalent qualification in logistics, supply chain, business administration, or a related field.
- Less than two years of professional experience, ideally in a logistics, freight forwarding, or trade operations environment.
- Basic understanding of customs procedures, shipping documentation, and international trade terminology.
- Strong numerical skills with the ability to calculate duties, tariffs, conversions, and freight metrics accurately.
- Proficiency in MS Office tools and comfort working with transportation or enterprise resource planning systems.
- Excellent written and verbal communication skills to collaborate effectively with internal teams and external partners.
- Detail-oriented mindset with strong organizational abilities for managing multiple shipments and deadlines.
