Job Description

Role Overview

You will be the organisational backbone of a busy school office, ensuring that administrative workflows run smoothly so teachers can focus on teaching and parents receive prompt, courteous support. On a typical day, you will handle record keeping, coordinate schedules and events, support the admissions process, and act as the first point of contact for a wide range of enquiries. Your work directly contributes to a professional, welcoming school environment and helps maintain the trust families place in the institution.

Key Responsibilities

  • Oversee the daily running of the school office, including managing incoming and outgoing correspondence, maintaining filing systems, and ensuring all administrative tasks are completed on time.
  • Serve as the frontline representative of the school, greeting visitors and responding to telephone, email, and in-person enquiries from parents, staff, and external partners with clarity and professionalism.
  • Maintain accurate and up-to-date student and staff records, including enrolment files, attendance registers, and other official documentation in line with school policies.
  • Coordinate the school calendar by arranging meetings, appointments, parent-teacher conferences, and school events, while communicating schedule changes clearly to all stakeholders.
  • Support the admissions and enrolment process, from handling initial enquiries and distributing application materials to processing registrations and maintaining waiting lists.
  • Assist with fee-related administrative procedures, such as issuing receipts, tracking payments, and responding to parent queries about billing or payment deadlines.
  • Collaborate with teachers, management, and external service providers to ensure smooth logistics for school activities, procurement, and facility-related requests.

Requirements & Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field from a recognised institution.
  • At least 2–3 years of hands-on administrative experience, ideally within a school office or educational setting.
  • Strong written and verbal communication skills, with the ability to interact respectfully and clearly with parents, staff, and children.
  • Demonstrated organisational ability to prioritise competing demands, meet strict deadlines, and manage multiple tasks without losing accuracy.
  • Solid proficiency in Microsoft Office applications (Word, Excel, Outlook) and experience using school management systems or ERP software.
  • A high standard of professionalism, integrity, and confidentiality when handling sensitive student and staff information, with strong attention to detail.
