This position serves as the first point of contact for patients, visitors, and staff within a busy hospital front office environment. The role combines reception duties, patient admission and registration, cashiering, and billing verification to ensure smooth daily operations. Accuracy and a professional, service-oriented manner are essential, as this team member directly impacts patient experience and data integrity at Aga Khan University.
Key Responsibilities
- Greet and assist patients, visitors, and university staff, promptly addressing inquiries and resolving complaints to maintain a high standard of customer care.
- Ensure continuous front desk coverage throughout operating hours, managing patient flow and minimising wait times.
- Process patient admissions, collect inpatient deposits, and handle all manual invoice and cash receipt transactions in line with established procedures.
- Register patients using correct identifiers, including biometric registration, and keep contact details current and accurate.
- Verify patient insurance or corporate entitlement details before services, confirm physician pre-authorizations, and submit approvals within 24 hours.
- Use relevant computer applications for daily front office transactions, maintaining billing accuracy and safeguarding patient data in the event of system downtime.
- Reconcile all cash collected from patients at the end of each shift, ensuring monies are accounted for and balanced.
- Schedule realistic appointments, reschedule when required, and communicate any changes promptly to patients.
Requirements & Qualifications
- Diploma in Front Office Administration, Business Administration, or a related field.
- At least one year of hands-on experience in a front office or customer-facing service role.
- Proficiency in MS Office applications and comfort learning hospital management or billing systems quickly.
- Strong customer service orientation with the ability to remain professional and calm under pressure.
- Excellent multitasking and attention to detail, especially when handling cash, registrations, and patient data.
- Good verbal and written communication skills, with the interpersonal ability to engage effectively with diverse patients, families, and medical staff.
