Role Overview
This position places you at the heart of daily office operations in a Sharjah-based company, where you will be the first point of contact for clients, partners, and visitors. Beyond standard reception duties, you will play a key supporting role in preparing commercial documents such as proposals, quotations, and tender submissions, ensuring that internal teams have the administrative backbone they need to pursue new business effectively.
Key Responsibilities
- Welcome and direct visitors with a professional and courteous approach, managing the front desk as the central hub for all incoming inquiries.
- Handle incoming phone calls, email correspondence, and general company queries, routing them to the appropriate departments or individuals in a timely manner.
- Prepare, format, and proofread business proposals, quotations, and tender documents, making sure they follow internal standards and are error-free before submission.
- Collaborate with the operations team to collect accurate technical or commercial details needed for proposal compilation and deadline-driven submissions.
- Organise and maintain both physical and digital filing systems, updating company records and ensuring easy retrieval of documents.
- Coordinate meeting schedules, manage appointment calendars, and support day-to-day office administration tasks as required.
- Oversee incoming and outgoing courier services and mail, tracking deliveries and ensuring items reach the correct recipients.
- Keep the reception area clean, welcoming, and presentable, reflecting the company’s professional image at all times.
Requirements & Qualifications
- A Bachelor’s degree in any discipline is required.
- At least 2–3 years of hands-on experience in a receptionist or administrative assistant role, ideally within a corporate or service-oriented environment.
- Proven experience in drafting or assembling business proposals, quotations, or tender documents is essential.
- Strong command of MS Office applications, including Word, Excel, PowerPoint, and Outlook, with the ability to produce well-structured documents and spreadsheets.
- Excellent written and spoken English communication skills, with the confidence to interact with clients and colleagues at all levels.
- Professional presentation, strong interpersonal abilities, and a meticulous eye for detail when handling documents and data.
