Role Overview
This role is central to keeping the company’s cash flow healthy by managing the entire customer billing and collections cycle from invoice creation through payment allocation. You will work closely with sales and operations to resolve billing issues, chase overdue accounts, and ensure the receivables ledger is always accurate and up to date. Your daily efforts will directly support the finance team’s month-end reporting and give management a clear view of outstanding customer debt.
Key Responsibilities
- Generate and distribute accurate invoices for customers on schedule, checking that every billing detail is complete and compliant with company and customer requirements before sending.
- Keep a central billing and collections log current, recording each issued invoice, every incoming payment, and the remaining balance on open customer accounts.
- Apply and post customer payments to the correct accounts on the receivables ledger, ensuring all allocations are precise and traceable.
- Proactively chase overdue invoices using phone calls, emails, and formal statements, while addressing any customer concerns and negotiating payment plans when appropriate.
- Investigate and resolve invoice mismatches, payment shortfalls, and disputes by collaborating with internal sales and operations teams to reach a quick and fair settlement.
- Produce regular aged receivables reports, identify high-risk or long-outstanding debts, and escalate these accounts to management with recommended actions.
- Assist in credit risk management by reviewing customer credit limits for new and existing accounts and helping to refine credit control policies and procedures.
- Contribute to month-end and year-end closing by preparing receivables reconciliations, supporting schedules, and audit-ready documentation, as well as ad hoc financial analyses for the Senior Accountant and Finance Manager.
Requirements & Qualifications
- Diploma or bachelor’s degree in accounting, finance, or a related discipline.
- Hands-on experience with accounting and ERP software such as Sage, QuickBooks, or SAP, including the ability to navigate receivables modules confidently.
- Advanced Microsoft Excel skills, with comfort using formulas, pivot tables, and data filtering to manage large volumes of transactional data accurately.
- Strong analytical and numerical ability, paired with a meticulous approach to reconciliation and an eye for spotting errors or inconsistencies.
- Excellent written and verbal communication skills, enabling you to interact professionally with customers and internal stakeholders while maintaining positive working relationships.
- Proven ability to prioritise competing tasks, work effectively under pressure, and consistently meet strict monthly deadlines.
- A high standard of integrity, confidentiality, and professionalism in handling sensitive financial information.
