Job Description

Role Overview

You will join the THRIVE global programme team as the project and partnership administration backbone, keeping the operational side of our donor-funded work moving. Day to day, you will prepare documents, check compliance, update records, chase deadlines, and arrange travel, meetings, and procurement so that partners and internal staff can focus on delivery. This role exists to protect the programme from administrative and compliance risks while ensuring that information, contracts, and reports are complete, accurate, and available when needed.

Key Responsibilities

  • Prepare contract packages and compliance checklists, route them through the right approval levels, and follow up on signatures to keep processing on schedule.
  • Review every returned contract set for completeness: signed agreements, bank details, auditor forms, and conflict-of-interest statements, then file and archive the records properly.
  • Confirm that all conditions are satisfied before contracts are signed off, liabilities are released, and requests for amendments or no-cost extensions are processed.
  • Monitor each partner’s journey through the contracting cycle, including intake, agreements, payments, assessments, and final closure, flagging any delays or gaps.
  • Oversee staff time registration to make sure time entries are complete and accurate for donor reporting and cost allocation.
  • Enter and maintain financial, project, and operational data in our systems, run quality checks on the information, and help prepare consolidated status and grant reports.
  • Organise procurement processes, travel bookings, meetings, and events: managing calendars, taking minutes, and ensuring action points are completed.
  • Perform compliance and control checks across the project lifecycle, identify risk issues related to administration and contracting, and contribute to improving our internal procedures.

Requirements & Qualifications

  • Bachelor’s degree, completed or in progress, in Business Administration, International Business, International Relations, or a comparable field of study.
  • At least one year of practical experience in administrative or operational support, ideally inside a nonprofit or an international development cooperation project.
  • Familiarity with procurement workflows and event coordination is an advantage.
  • Professional fluency in English is required; working knowledge of Arabic or Spanish is a plus.
  • Advanced skills in Microsoft Office, particularly Excel, Word, and PowerPoint, and comfort working with databases.
  • High accuracy, strong organisational habits, and the ability to juggle competing priorities without losing track of details.
  • A professional attitude rooted in integrity, respect, and adherence to ethical standards and donor rules.
