Role Overview
This position serves as the operational backbone of the STRIDES program, keeping the paperwork, tracking systems, and coordination routines that move work from approval through closeout. Partnering with quality assurance colleagues, program officers, and technical staff, the administrator maintains procurement requests, subcontract files, country trackers, and reporting deadlines, and surfaces gaps before they turn into delays. The role directly shapes how reliably and how audit-ready the program is day to day.
Key Responsibilities
- Enter and maintain procurement requisitions in CostPoint, track each request to completion, keep the procurement log current, and escalate stalled or incomplete packages to the responsible Program Officer.
- Assemble procurement packages by gathering commodity specifications, quantities, delivery details, and supporting documents, then file everything under the program's naming conventions and folder structure.
- Maintain subcontractor and consultant files, deliverable schedules, authorization records, invoices, and periods of performance; monitor upcoming modifications or renewals and prompt responsible staff when deliverables, approvals, or invoice backup are missing.
- Coordinate onboarding and offboarding logistics for consultants, subcontractors, and team members, including document collection, system access requests, orientation materials, and checklist tracking.
- Support financial coordination by helping the team compile and monitor budgets, confirming receipt and delivery documentation, and assisting with invoice and payment tracking.
- Keep compliance records current, including FFATA entries, approval and concurrence files, certifications, and safeguarding training documentation; run routine completeness checks against established checklists and flag discrepancies before officer review.
- Provide administrative and operational support for lower-complexity country portfolios under a Program Officer's direction: maintain action trackers, calendars, and follow-up lists, document meeting decisions, prepare routine status updates and briefing materials, and escalate overdue actions or bottlenecks.
- Draft, review, translate, and file quarterly and annual report inputs, work plans, and partner correspondence; keep internal and external project pages current and answer partner inquiries.
- Maintain SharePoint folders, templates, standard operating procedures, and job aids, manage document version control and archiving, update distribution and contact lists, and support scheduling, agendas, notes, and action-item tracking for operations and quality assurance meetings.
- Identify recurring administrative or documentation gaps and recommend practical process improvements, including tracking service requests and turnaround times to inform workload planning.
Requirements & Qualifications
- Bachelor's degree or international equivalent in civil society, communication and social marketing, economic development, education, environment, gender, health, nutrition, research, technology, youth, or a related field.
- Minimum of 2+ years of relevant experience supporting projects or a technical practice area.
- Prior work in a non-governmental organization, government agency, or private organization.
- Working knowledge of project design concepts, practices, and procedures.
- Strong oral and written communication skills, with the ability to engage clients and colleagues in a clear, professional, and positive manner; articulate in both speech and writing.
- Demonstrated proficiency with Microsoft Office, particularly Office 365, SharePoint, and collaboration tools such as Teams or Zoom; prior Microsoft Office experience preferred.
- Strong organizational skills and close attention to detail, with the discipline to hold to project deadlines.
- Ability to weigh multiple factors, apply judgment within defined procedures, solve problems of limited to moderate scope, and recommend corrective action.
- Fluency in reading, writing, and speaking English; fluency in the host-country language as appropriate; Spanish and French are a plus.
- Ability to work with general instruction on routine tasks and more detailed direction on new projects or assignments, exercising independent judgment on workflow and priorities; typically reports to a Manager, Associate Director, or Director.
- Comfortable in a typical office environment with extended periods at a computer screen and keyboard, extended sitting or standing, and occasional lifting or moving of up to 5 lbs.
- Willingness to travel 10%–25%.
