Role Overview

This position places you at the heart of procurement operations for a Nairobi-based hardware business, where you will manage the full purchasing cycle—from identifying reliable suppliers to ensuring that stock arrives on time and within budget. Your decisions will directly influence profitability and operational continuity, as you balance cost control, quality standards, and inventory availability across a wide range of hardware materials. Beyond day-to-day purchasing, you will shape procurement strategy, build lasting supplier partnerships, and safeguard the company against supply disruptions and market volatility.

Key Responsibilities

• Develop and execute procurement strategies that align with business goals, covering everything from sourcing decisions to delivery schedules.
• Own the end-to-end procurement workflow: review purchase requests, issue purchase orders, track deliveries, and verify that goods match specifications.
• Identify, evaluate, and onboard suppliers using clear criteria such as product quality, pricing, lead times, and reliability; maintain an approved supplier list.
• Negotiate contracts, pricing structures, payment terms, and service-level agreements with vendors while safeguarding the company's commercial interests.
• Track supplier performance through regular reviews, resolve delivery or quality disputes, and take corrective action where needed.
• Monitor stock levels across key product lines and coordinate with warehouse and logistics teams to ensure replenishment happens before shortages impact sales.
• Analyse market trends, commodity prices, and seasonal demand patterns to spot cost-saving opportunities and mitigate the risk of price spikes or stockouts.
• Keep accurate procurement records, update price lists whenever supplier costs shift, and prepare performance reports for senior management.
• Collaborate with internal departments—such as sales, operations, and finance—to understand their purchasing needs and provide guidance on best practices.
• Develop contingency plans for supply chain interruptions, including alternative sourcing options and safety stock strategies.
• Ensure all purchasing activities comply with local regulations and internal procurement policies, maintaining full audit trails.

Requirements & Qualifications

• Bachelor’s degree in supply chain management, business administration, procurement, or a closely related field.
• A professional procurement qualification such as CIPS is strongly preferred.
• At least three years of procurement experience, ideally within the hardware, construction materials, or related distribution sector.
• Demonstrated experience negotiating with suppliers and managing vendor contracts effectively.
• Working knowledge of procurement software and the Microsoft Office Suite; hands-on experience with Tally is an advantage, and ERP proficiency is a plus.
• Sound understanding of local procurement regulations and compliance requirements in Kenya.
• Strong analytical skills—able to compare supplier quotes, interpret price trends, and make data-driven purchasing decisions.
• Excellent verbal and written communication skills, with the ability to interact confidently with suppliers, internal teams, and senior leadership.
• Leadership capability, including the confidence to guide junior procurement staff or cross-functional teams when required.
• High attention to detail, especially when reviewing purchase orders, delivery notes, invoices, and inventory records.
• A proactive, problem-solving mindset with the flexibility to respond to urgent supply issues.
