Role Overview
The Procurement Manager at Nairobi Central Hardware Ltd will take ownership of the company’s entire purchasing function, ensuring that every material, tool, and fitting is sourced at the right price without interrupting operational flow. Day-to-day work involves reviewing internal purchase requests, qualifying and negotiating with suppliers, tracking stock movements, and coordinating with warehouse and logistics teams so that orders arrive on schedule. Because this position reports directly to the Chief Executive Officer, the person in this role also carries responsibility for sound procurement strategy, transparent documentation, and risk management on every purchase.
Key Responsibilities
- Build and maintain procurement procedures, from purchase requests and quote comparisons to order approval and delivery confirmation.
- Identify, evaluate, and register reliable suppliers for hardware goods, judging vendors on product consistency, cost, delivery reliability, and responsiveness.
- Negotiate contract terms, unit pricing, payment schedules, delivery windows, and after-sales support with existing and prospective suppliers.
- Watch inventory levels closely, set reorder thresholds, and trigger replenishment before critical materials run out.
- Collaborate with warehouse and logistics personnel to coordinate incoming deliveries, inspect received items, and resolve discrepancies in quantity or quality.
- Track commodity prices and supplier quotes, then adjust purchasing plans to capture cost-saving opportunities or avoid overpaying.
- Keep accurate procurement records, including supplier contracts, price updates, purchase orders, delivery notes, and performance reports.
- Flag potential supply chain risks, particularly for seasonal products or import-dependent materials, and arrange alternative sourcing options in advance.
- Support other departments by clarifying their buying needs, advising on procurement best practices, and ensuring all purchases follow company policy.
Requirements & Qualifications
- Bachelor’s degree in supply chain management, business administration, procurement, or a related field.
- At least three years of hands-on procurement experience, preferably within the hardware, construction, or building-materials industry.
- Professional certification in procurement such as CIPS is an added advantage.
- Working knowledge of Tally, with experience using other ERP systems considered beneficial.
- Proficiency in Microsoft Office Suite, especially Excel for price analysis, stock tracking, and management reporting.
- Demonstrated ability to lead purchasing decisions, communicate clearly with suppliers and internal teams, and negotiate favourable terms.
- Strong analytical reasoning and problem-solving skills, with keen attention to detail when reviewing contracts, invoices, and stock records.
- Understanding of local procurement regulations and the practical requirements for sourcing hardware materials in Kenya.
