Port Clerk

Role Overview

This role keeps port cargo moving by coordinating release paperwork, container collection and transport from the port to its intended destination. You will work across port, clearing, shipping and transport contacts to resolve issues quickly, keep customers informed and help limit avoidable delays and container costs.

Key Responsibilities

• Coordinate cargo release, container collection and evacuation in line with operational schedules and port procedures.
• Prepare, check, submit and maintain delivery orders, release paperwork, container records and related transport documents.
• Work with port authorities, clearing agents, shipping lines, depots, drivers, transport supervisors and customers to progress cargo movements.
• Track cargo and container status, availability, release progress and onward movement, sharing updates with relevant teams and customers.
• Coordinate vehicle dispatch, port entry and driver activity with the transport and operations teams to support timely collection and delivery.
• Identify and escalate documentation errors, release obstacles and delays that could lead to demurrage, detention or other costs.
• Maintain accurate operational records and report emerging issues or progress to the appropriate manager.
• Take on other operational duties assigned by the Branch Coordinator or Operations Manager.

Requirements & Qualifications

• Certificate or diploma in Clearing and Forwarding, Logistics and Supply Chain Management, Transport Management, Shipping and Port Operations, or a related discipline.
• At least 2–3 years of relevant experience in port operations, cargo documentation, clearing and forwarding or transport logistics.
• Practical experience coordinating cargo release, container collection and evacuation, and transport teams.
• Working knowledge of port procedures, shipping documents, container movements and cargo-release processes.
• Understanding of demurrage, detention, port delays and container turnaround is an advantage.
• Proficiency with Microsoft Office and email; experience using cargo-tracking or logistics-management systems is useful.
• Familiarity with Mombasa port operations and the local logistics environment is highly relevant.
• Strong organisation, accuracy, record-keeping, communication and problem-solving skills, with the ability to work independently and alongside operations and transport colleagues.
• Willingness to work extended or irregular hours when operational demands require.
