Role Overview
This role sits at the centre of daily operations, where you will keep projects moving, resolve problems before they stall progress, and act as the connective tissue between clients, vendors, and internal teams. You will spend part of your week on the road visiting project sites and supplier locations, and the rest coordinating schedules, updating records, and supporting business development efforts. Your ability to stay ahead of issues and follow through on commitments directly determines whether projects finish on time and clients remain confident in the service they receive.
Key Responsibilities
- Manage multiple operational workstreams simultaneously, tracking progress against deadlines and stepping in to remove obstacles as they arise.
- Travel regularly to project sites, vendor premises, and client meetings to inspect work quality, confirm logistics, and ensure execution matches plan.
- Spot operational risks early and take initiative to resolve them on the spot, without needing to escalate routine problems.
- Serve as a reliable point of contact for clients, vendors, and contractors, keeping all parties aligned on expectations, timelines, and changes.
- Support business growth by identifying opportunities, participating in client conversations, and applying negotiation skills to secure favourable terms.
- Maintain up-to-date project trackers, action logs, and operational records so that every task, deliverable, and follow-up is visible and accountable.
- Prepare concise progress reports for leadership, highlighting what has been completed, what is at risk, and where decisions or support are needed.
- Coordinate meetings, document action points, and chase commitments to ensure nothing falls through the cracks.
- Handle ad hoc operational assignments and special projects with the same rigour and professionalism as core duties, safeguarding confidential information at all times.
Requirements & Qualifications
- Bachelor's degree in business administration, communication, or a closely related discipline.
- At least three years of hands-on experience in operations, project coordination, project management, business development, administration, or a comparable role.
- Demonstrated ability to coordinate projects or juggle multiple workstreams with competing deadlines.
- A valid driver's licence and genuine willingness to drive frequently as part of the workday.
- Strong working knowledge of project coordination tools, tracking spreadsheets, and status reporting.
- Proven problem-solving mindset, with the confidence to make practical decisions independently.
- Excellent written and verbal communication skills, particularly when dealing with clients, vendors, and senior stakeholders.
- High level of initiative, accountability, and attention to detail, combined with the ability to adapt as priorities shift.
- Previous exposure to sales, client relationship management, or vendor negotiation is a plus.
- Unquestionable integrity and discretion when handling company and client information.
