Role Context

We are seeking a versatile and organized Operations Assistant to join our team in Kisumu. This role is designed for a multi-talented professional who can bridge the gap between high-level administrative duties and day-to-day operational execution. You will be the "engine room" of the office, ensuring that departmental deadlines are met, communication remains fluid, and records are meticulously maintained. Key Deliverables

Workflow Coordination & Support

  • Monitor daily business activities to identify bottlenecks and ensure a smooth, uninterrupted workflow across all departments.

  • Track ongoing tasks and project timelines, ensuring that all internal and external deadlines are strictly adhered to.

  • Support the procurement unit by tracking inventory levels and assisting with the documentation of supply chain processes.

  • Escalate operational challenges to management promptly with suggested preliminary solutions.

Administrative & Data Excellence

  • Provide comprehensive clerical support, including professional filing, scheduling of executive meetings, and managing official correspondence.

  • Utilize the MS Office Suite (Word, Excel, PowerPoint) to maintain accurate trackers, databases, and digital archives.

  • Compile raw data into actionable daily, weekly, and monthly operational reports for management review.

  • Safeguard company information by ensuring high levels of data accuracy and strict confidentiality in all transactions.

Leadership & Team Integration

  • Act as a central communication hub, liaising between internal teams to ensure organizational updates are cascaded effectively.

  • Provide guidance to junior staff, ensuring that all team members are adhering to standard operating procedures (SOPs).

  • Assist management in the practical implementation of new operational plans and business strategies.

  • Foster a collaborative and positive work environment through active participation and proactive problem-solving.

Applicant Profile

Professional Qualifications

  • Education: Diploma or Degree in Business Management, Administration, or a related field.

  • Experience: At least 1 year of experience in an administrative or operational role, preferably within a fast-paced corporate environment.

  • Technical Literacy: Full proficiency in the Microsoft Office Suite is a mandatory requirement.

Functional Skills

  • Organization: Exceptional multitasking abilities with a proven track record of managing competing priorities.

  • Leadership: Natural ability to coordinate teams and provide supportive supervision to colleagues.
