Office Administrator & Executive Support

About Us

The Soch Collective is a boutique design consultancy specializing in residential, commercial, hospitality, and workplace interiors. As a growing company, we are looking for an organised and proactive individual who enjoys bringing structure to a creative environment and supporting the smooth day‑to‑day operations of the business.

This role is ideal for someone who enjoys coordinating people, keeping things organised, and being the person others can rely on to ensure everything runs efficiently.

Key Responsibilities

Office Administration

  • Manage the day‑to‑day administration of the office
  • Coordinate office supplies, vendors, maintenance, and service providers
  • Maintain organised physical and digital filing systems
  • Welcome visitors and prepare meeting spaces
  • Handle courier services and general office logistics

Executive Support

  • Manage calendars and schedule meetings
  • Organise appointments and meeting logistics
  • Prepare meeting notes and follow up on action items when required
  • Draft professional emails and basic business correspondence
  • Keep important documents and records well organised

HR Administration

  • Coordinate interview scheduling and candidate communication
  • Prepare onboarding documentation for new employees
  • Maintain employee records and leave trackers
  • Assist with general HR administrative tasks

Finance Support

  • Organise invoices and expense records
  • Coordinate documents with the external accountant
  • Follow up on invoices and payments as requested
  • Maintain accurate administrative financial records

General Coordination

  • Support the leadership team with day‑to‑day administrative tasks
  • Coordinate with clients, consultants, suppliers, and contractors
  • Assist in maintaining internal trackers, deadlines, and documentation
  • Provide administrative support across different business functions as required

Requirements

  • 1–3 years of experience in Office Administration, Administrative Support, or Office Coordination
  • Excellent organisational skills with strong attention to detail
  • Strong written and spoken English
  • Proficiency in Microsoft Office and Google Workspace
  • Comfortable learning and using AI tools such as ChatGPT or Claude (training can be provided)
  • Able to manage multiple administrative tasks in a fast‑paced environment
  • Professional, dependable, and proactive attitude

Preferred

  • Experience in an interior design, architecture, construction, or professional services company
  • Familiarity with CRM systems or project management software
  • Experience supporting a small business or leadership team
