Role Overview
You will be the organisational anchor of our office, making sure daily operations run smoothly so that every team member can focus on their core work. Your day-to-day involves juggling administrative requests, managing schedules, and streamlining internal processes—your consistency directly affects how efficiently the whole office functions.
Key Responsibilities
- Coordinate office workflows, including managing meeting room bookings, maintaining shared calendars, and arranging internal events
- Serve as the first point of contact for internal and external queries, handling correspondence with clarity and professionalism
- Maintain accurate records, filing systems, and office documentation while ensuring sensitive information remains confidential
- Monitor office supplies and equipment, placing orders as needed and liaising with vendors or service providers
- Support onboarding and administrative processes for new staff, including document preparation and access coordination
- Assist with preparing reports, presentations, and communication materials, ensuring data accuracy and timely delivery
- Identify routine bottlenecks in office procedures and propose practical improvements to increase productivity
- Handle ad-hoc administrative tasks from different departments, prioritising urgent requests without losing track of ongoing projects
Requirements & Qualifications
- Certificate or Diploma in Business Management, Office Administration, or a related field
- Proven experience in office coordination, demonstrating the ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills, with the ability to interact confidently with staff, clients, and external partners
- Excellent time-management skills and a methodical approach to multitasking, ensuring deadlines are consistently met
- Proficiency with office applications (word processing, spreadsheets, email platforms) and a willingness to learn new software systems quickly
- A high level of discretion and integrity regarding confidential business and personnel information
