Job Description

Role Overview

This position sits within the property accounting team and is responsible for keeping the financial side of a commercial property portfolio running smoothly. Day to day, you will prepare tenant invoices, monitor incoming payments, chase overdue balances, and keep the general ledger precise for a mix of tenants, suppliers, and utility providers. Your accuracy directly supports cash flow, clean audit trails, and strong landlord-tenant relationships across the properties you look after.

Key Responsibilities

  • Prepare and issue monthly bills for rent, service charges, and utility consumption, ensuring every charge matches the lease terms and current meter readings.
  • Maintain tenant ledgers, post receipts and adjustments promptly, and produce clear account statements whenever tenants or property managers request them.
  • Support the arrears process by running aged debt reports, contacting tenants about overdue amounts, and coordinating with the collections team or external agents as needed.
  • Investigate and resolve tenant billing disputes with the Property Management team, tracing invoice history, meter data, and remittance details to find the root cause.
  • Reconcile bank statements, tenant accounts, supplier ledgers, and utility billing accounts on a regular cycle.
  • Process property-related expense invoices, match them to purchase orders or contracts, and keep an organised, fully documented payment record for each property.
  • Spot and correct ledger discrepancies quickly, adjusting journal entries when necessary while keeping a clear audit trail for every change.
  • Compile tenant ageing analyses, financial schedules, and management reports for portfolio reviews and month-end close.
  • Contribute to monthly closing procedures by posting accruals, prepayments, and reclassifications, and help prepare supporting files for internal and external audits.

Requirements & Qualifications

  • Diploma or Degree in Accounting, Finance, Commerce, or a related field; CPA Part II or an equivalent professional qualification is a strong advantage.
  • At least two years of hands-on property accounting experience, ideally across commercial properties, shopping centres, or malls, with a solid grasp of service charge calculations and tenant billing cycles.
  • Advanced Excel skills, including pivot tables, VLOOKUPs, and the confidence to build or modify reconciliation templates, plus working knowledge of mainstream accounting or property management software.
  • High numerical accuracy and a meticulous eye for detail, with a proven ability to spot discrepancies and investigate them to resolution.
  • Strong problem-solving and organisational skills, comfortable juggling multiple tenants, deadlines, and queries at the same time.
  • Clear written and verbal communication, able to explain billing adjustments to non-finance colleagues and handle tenant conversations professionally.
  • Proactive work style that thrives in a busy finance office and stays calm under month-end pressure.
