Role Overview
This trainee position sits inside the Imports & Exports Department and keeps the day-to-day paperwork and system records moving while shipments are in transit and declarations are being filed. You will spend most of your time entering and cross-checking import and export data in the CMS system, assembling and filing clearance documents, and tracking shipment milestones so nothing stalls at the border. The role exists because the department's CMS rollout and rising trade volumes have increased the administrative load, and an extra pair of accurate hands is needed to keep records reliable and clearances on schedule.
Key Responsibilities
- Enter and update import/export records in the CMS system, including IDF details, customs declaration information and clearance data, following instructions from the responsible officer.
- Compare everything keyed into the system against the supporting paperwork and flag missing, mismatched or incorrect entries to the officer who owns that transaction.
- Prepare, sort and check clearance document sets — invoices, packing lists, bills of lading, airway bills, IDFs, customs entries, certificates, permits and delivery orders — so each file is complete and easy to retrieve.
- Verify product descriptions, quantities and values against source documents, and check HS codes and applicable tax rates using the information supplied by the customs/clearing officer.
- Scan, file and maintain both electronic and physical records, and keep the department's databases current for active and closed shipments.
- Track import and export shipments through their milestones, update the shipment trackers and departmental reports, and chase outstanding documentation with internal teams.
- Support routine customs clearance activities and post-declaration reconciliation, escalating delays, discrepancies or unusual cases to the supervisor rather than resolving them independently.
- Compile daily, weekly and monthly reports, pull documents for audits and internal reviews, and handle any other reasonable administrative tasks assigned within the department.
Requirements & Qualifications
- Diploma or bachelor's degree in Supply Chain Management, Logistics, International Business, Procurement, Business Administration, Customs Administration, Transport & Logistics or a closely related field.
- Recent graduate or current student on a relevant programme; 0–1 year of work experience is expected, and fresh graduates are actively encouraged to apply.
- Comfortable with Microsoft Excel and Word at a basic working level — enough to maintain trackers, lists and simple reports.
- Willing and able to learn computerised platforms such as CMS, ERP or other logistics systems; prior exposure to these is not required.
- Strong attention to detail and the discipline to keep accuracy steady while repeating routine data-entry and filing tasks.
- Clear written and verbal communication for following up on documents and reporting issues to the right person.
- Ability to follow set procedures and instructions, work to deadlines under pressure, and collaborate well within a team.
- Demonstrated integrity and a firm commitment to keeping company, supplier, shipment and customs information confidential.
- Genuine interest in developing knowledge of customs and international trade procedures; a basic understanding of imports, exports, logistics or customs processes is an added advantage.
