Job Description

Role Overview

This role owns the enterprise systems estate for a multi-country aquaculture group, with ERPNext at its centre, and turns everyday support work into a steady stream of practical improvements: fewer spreadsheets, tighter controls, faster decisions. Working closely with finance, farm and country leadership, the holder keeps transactional systems dependable while digitising the operational processes that still live on paper, in local files or in chat threads. It matters because operations spanning Kenya, Rwanda and Tanzania need common, auditable systems that frontline teams genuinely use, and because that capability should be built in-house rather than rented indefinitely from an external partner.

Key Responsibilities

  • Own the stability, administration and user support of ERPNext and other assigned enterprise applications, running clear issue, service-request and change-request processes with defined triage, ownership, prioritisation, testing, approvals, documentation and release control.
  • Build and maintain a prioritised ERPNext roadmap and transparent backlog, challenging legacy assumptions and redesigning processes with business owners before digitising or automating them, then piloting quickly, measuring the operational and control benefit and scaling what works across countries and functions.
  • Deliver operational digitisation end to end — requirements, process change, configuration or build, testing, training, go-live and post-go-live support — connecting operational events into ERPNext as the system of record and making the resulting data usable by the data and BI function.
  • Partner with process owners and the Kenya and Rwanda Finance Directors who rely on ERPNext for operational and accounting transactions, translating agreed requirements into practical system improvements while the business retains ownership of requirements, process decisions, testing and adoption.
  • Strengthen role-based access, segregation of duties, master-data controls, workflow discipline and audit trails, and engage Internal Audit on system controls, access, audit trails and the remediation of identified weaknesses.
  • Coordinate integrations with the group's data, analytics and reporting platforms alongside the relevant data owners, preserving unambiguous system ownership and reducing manual workarounds, duplicate entry and spreadsheet dependency wherever a controlled system solution is justified.
  • Lead, coach and coordinate Systems and IT team members — clarifying ownership, priorities and service standards — write simple policies, procedures and documentation teams can apply consistently, manage external implementation partners on scope, quality and knowledge transfer, and report monthly on platform health, service performance, security risks, incidents, backlog, budget and major actions.
  • Establish early momentum and measurable progress: map the systems, infrastructure, access, licence, vendor and team landscape across Kenya, Rwanda and Tanzania and stabilise critical ERPNext support within the first 90 days; within 6–12 months embed common change, testing, release and configuration standards, lift reliability, adoption and workflow compliance, and complete at least two visible step-change improvements — including scaling a proven digitisation pilot to further sites with the replaced process formally retired.

Requirements & Qualifications

  • 7–10 years across enterprise systems delivery, systems development or technical product management, including at least 3 years leading teams or multi-site delivery.
  • Hands-on experience implementing and improving ERP platforms rather than only administering them; direct ERPNext or Frappe experience is highly desirable.
  • A proven record of digitising manual operational workflows for frontline users in field, production, logistics or retail settings, including offline-capable data capture.
  • Working knowledge of relational databases, APIs and integration patterns, with the ability to specify and credibly review technical work.
  • Experience in a multi-country, multi-site or operationally intensive environment such as aquaculture, agriculture, food production, FMCG, manufacturing, logistics or retail.
  • Evidence of finishing what is started: practical system improvements that landed and were adopted, not only strategies, policies or architectures.
  • An entrepreneurial track record of spotting technology-enabled business opportunities, building support, piloting solutions and converting them into sustained operational gains.
  • Experience managing external implementation partners and holding them to scope, quality and knowledge transfer, combined with commercial discipline in vendor, licence, budget and project management.
  • Clear communication across operational users, technical specialists and senior leadership, and a willingness to work regularly from operational sites and travel across the group's countries.
  • Leadership qualities that fit a growing business: hands-on, responsive and calm under pressure; structured and control-minded without unnecessary bureaucracy; proactive in finding root causes and driving issues to closure; curious and entrepreneurial; strong on service while able to enforce standards and prioritisation; collaborative across countries and functions with respect for business ownership and role boundaries; comfortable where capability is still being built.
