Job Description

Role Overview

As a Graduate Trainee within the Business Optimisation Services (BOS) team at the SFA Foundation, you will support the day-to-day coordination and documentation work that helps departments streamline their processes, policies, and procedures. Your time will be split between capturing and mapping business workflows, maintaining records and registers, and assisting with project support activities such as scheduling review sessions, tracking actions, and preparing meeting notes. This role is designed as a structured learning opportunity, giving you guided exposure to business analysis, quality management, and process improvement while contributing directly to the Foundation's operational efficiency.

Key Responsibilities

  • Assist in documenting current business processes by recording steps, stakeholder roles, inputs, outputs, timelines, and risks using the BOS team's approved templates and standards.
  • Help prepare process mapping deliverables such as flowcharts, swimlane diagrams, process narratives, and RACI matrices, ensuring they align with internal formatting guidelines.
  • Coordinate process review workshops and validation meetings by scheduling sessions, distributing materials, documenting feedback, and tracking assigned action points through to completion.
  • Maintain and update BOS registers, including the organisational process inventory, document tracker, and service catalogue tracker, to keep records accurate and current.
  • Support policy and SOP coordination by monitoring review dates, following up with document owners, checking version control, and confirming documents meet formatting and quality requirements before escalation.
  • Contribute to quality management tasks such as developing checklists, compiling quality logs, recording improvement suggestions, and summarising lessons learnt from completed initiatives.
  • Gather and organise information from various departments to support business case development, requirements gathering, and process improvement proposals.
  • Assist with project coordination for BOS initiatives, including logging risks and issues, maintaining project filing structures, and preparing status update inputs.
  • Provide support for user acceptance testing (UAT) by helping prepare test scripts, compile test evidence, document issues, and summarise test results.
  • Contribute to internal knowledge products such as briefing notes, presentations, dashboards, and summary reports that communicate BOS progress and outcomes.

Requirements & Qualifications

  • A bachelor's degree in business administration, business information technology, information systems, project management, operations management, quality management, public administration, development studies, or a related field.
  • No prior work experience is required; however, internships, volunteer roles, academic projects, or attachments in business analysis, project coordination, process documentation, operations support, research, or administration will be considered an advantage.
  • Strong research and analytical skills, with the ability to break down information, identify patterns, and propose practical solutions.
  • Excellent written and verbal communication skills, including the capacity to produce clear summaries, structured meeting notes, and organised documentation.
  • Good organisational abilities, with a demonstrated capacity to manage several tasks simultaneously, meet deadlines, and follow through on assignments.
  • A genuine interest in business process management, policy coordination, quality improvement, project support, and digital transformation.
  • Professionalism, discretion, and respect for confidential organisational information.
  • Curiosity, openness to feedback, and a willingness to learn new tools and methodologies.
  • Ability to work collaboratively within a team, communicate clearly with stakeholders, and adapt to changing priorities.
