Role Overview

We are seeking a highly analytical, commercially astute Finance & Procurement Manager to provide comprehensive financial leadership and administrative oversight for our prestigious global law firm based in Nairobi. Your primary focus will be to streamline the firm's financial controls, optimize cash-flow dynamics, and spearhead aggressive billing and collections cycles to maintain absolute fiscal health. This position bridges complex financial strategy with hands-on operational management; you will oversee daily accounting ledger entries, lead debtor-recovery meetings, manage the full corporate procurement lifecycle, and defend the firm against cash leakage or compliance failures. The role calls for an assertive, high-ownership financial leader with a proven professional-services background who can deliver accurate, timely board-level metrics to direct sustainable firm growth.

Job Summary

Strategic Financial Planning & Leadership

  • Partner closely with the Managing Partner to develop and execute long-term financial roadmaps that support the firm's commercial expansions.
  • Design, execute, and continuously upgrade tight internal financial controls and risk-mitigation frameworks to protect corporate assets.
  • Construct sophisticated financial projection models, annual operating budgets, and granular budget-versus-actual analysis.
  • Conduct regular overhead and cost reviews, identifying cost-containment pathways and waste reduction measures to boost net profitability.

General Ledger Operations & Cash Management

  • Monitor the firm’s daily cash positions, liquid reserves, and bank balances to maintain optimal working capital allocations.
  • Supervise all general ledger bookings, payroll preparations, accounts payable workflows, bank reconciliations, and tax calculations.
  • Draft precise daily cash reports, weekly billing updates, and complete monthly management accounts within agreed timelines.
  • Act as the lead liaison for annual external audits, banking relationships, tax consultants, and municipal regulatory bodies.

Legal Billing & Debtor Management

  • Drive the firm's client billing protocol, ensuring fee notes, retainers, and client disbursements are calculated and invoiced promptly.
  • Run rigorous collections procedures, conducting physical follow-ups and strategic debtor meetings to accelerate cash receipts.
  • Maintain an active, updated debtor-aging analysis, establishing documented follow-up commitments and collection plans.
  • Track unbilled fees, work-in-progress (WIP) balances, and client reimbursements, compiling profitability metrics at the individual advocate and matter levels.

Procurement Lifecycle & Asset Control

  • Govern the firm's complete procurement pipeline, encompassing supplier pre-qualification, quotation analysis, and invoice verification.
  • Guarantee that all material sourcing is highly competitive, ethical, cost-effective, and fully insulated against conflicts of interest.
  • Maintain accurate, live registers for all active supplier contracts, physical corporate assets, and office supply inventories.
  • Negotiate strategic bulk-purchasing terms and service level agreements (SLAs) to guarantee optimal value on all firm spending.

Team Supervision & Performance Coaching

  • Lead, supervise, and mentor the finance, accounting, and procurement personnel, establishing clear KPIs and rigid output timelines.
  • Monitor staff productivity patterns, resolving delayed task completions or low performance without the need for repetitive follow-up.
  • Oversee continuous training on professional accounting software, Excel reporting techniques, and internal administrative procedures.

Skills & Experience Required

Minimum Entry Criteria

  • Academic Foundation: Bachelor’s degree in Accounting, Finance, Economics, or a related discipline with at least Second-Class Honours, Upper Division. Minimum KCSE Grade of B or equivalent.
  • Professional Licensing: Fully qualified CPA(K), ACCA, or an equivalent recognized professional accounting body membership.
  • Industry Longevity: Minimum of 6 years of progressive, hands-on experience in corporate accounting and finance, with at least 3 years operating in a supervisory or management capacity.
  • Sector Familiarity: Proven experience working within a reputable law firm, professional-services advisory, or similar corporate partnership environment is a highly distinct advantage.
  • Tool Competency: Deep proficiency utilizing specialized ERP accounting software, database management tools, and advanced Microsoft Excel (including complex financial modeling, macros, and pivots).
