Job Description

Role Overview

This position anchors the daily operations of three Directors within a global health organisation, ensuring their schedules, communications, and strategic priorities stay aligned across international teams. You will act as a central coordination point for leadership activities, helping senior decision-makers stay focused on high-impact work while managing the administrative and operational details that keep initiatives moving. Your ability to anticipate needs, resolve conflicts, and connect the right people at the right time will directly support the efficiency and effectiveness of the wider International Health leadership group.

Key Responsibilities

  • Plan and maintain complex calendars for multiple Directors, balancing meetings across time zones and adjusting priorities as business needs shift.
  • Handle confidential documents, emails, and conversations with a high degree of discretion, ensuring sensitive information remains protected.
  • Create polished presentation decks, briefing documents, agendas, and meeting materials that enable productive discussions and informed decisions.
  • Spot potential scheduling clashes early and propose practical alternatives before they create bottlenecks.
  • Arrange end-to-end international travel itineraries, including flights, accommodation, ground transport, and timely expense processing.
  • Support the execution of leadership meetings, workshops, offsites, and department-wide events, including logistics and follow-up actions.
  • Maintain current organisational charts, distribution lists, and team contact directories to support smooth internal communication.
  • Coordinate annual planning cycles, governance calendars, and cross-functional projects that require input from multiple stakeholder groups.

Requirements & Qualifications

  • At least five years of experience providing direct support to Directors, Vice Presidents, or equivalent senior executives.
  • Proven ability to manage multiple complex calendars simultaneously without losing accuracy or attention to detail.
  • Hands-on experience arranging international travel and managing expense reconciliations for senior leaders.
  • Familiarity with working in large, matrixed organisations where priorities shift and collaboration spans multiple departments.
  • Advanced skills in Microsoft Outlook, Teams, PowerPoint, Word, and Excel, with everyday fluency in SharePoint or similar collaboration tools.
  • Strong written and verbal communication skills, enabling clear, professional interaction with stakeholders at all levels.
  • Excellent organisational judgment, with a proactive approach to solving problems before they escalate.
  • Demonstrated ability to maintain integrity, discretion, and calm professionalism under pressure.
