Role Overview
We are seeking a highly disciplined, discreet, and multi-skilled Driver & Administrative Assistant to join our close-knit administrative team. Your primary objective is to guarantee the safe, punctual, and highly secure transport of diplomatic officials and authorized passengers while managing critical clerical front-office pipelines. This position uniquely bridges executive field logistics with institutional administration; you will alternate between defensive road navigation, preventative vehicle upkeep, and frontline reception coverage. The role demands an adaptable professional with high-level personal integrity and a polished command of the English language who can remain efficient under demanding workloads and strict diplomatic protocols.
Core Competencies
Diplomatic Chauffeur Services & Fleet Care
- Transport embassy officials, VIP dignitaries, and authorized global passengers safely to official meetings, field missions, and cross-county locations.
- Execute advanced vehicle inspection checklists daily, managing oil balances, tire pressures, brake fluids, and immediate body cleaning paths.
- Maintain complete logbooks, precisely documenting mileage points, fuel replenishment transactions, and mechanical repair updates.
- Adhere strictly to national traffic guidelines, defensive driving principles, and special embassy security protective protocols.
Reception Support & Clerical Administration
- Manage the central telephone switchboard, answering institutional public inquiries and redirecting incoming traffic to relevant sections.
- Welcome and screen visiting delegates, validation partners, and visa candidates professionally before granting access.
- Sort, track, and distribute physical diplomatic pouches, incoming corporate mail packets, and internal departmental briefs.
- Input data, update registries, and compile administrative reports using Microsoft Office tools (Word, Excel, PowerPoint).
Errands Logistics & Operational Flexibility
- Conduct official errands across government offices, banking houses, and corporate supplier locations to collect or deliver documents.
- Collaborate closely within a rotating four-person driver cluster to support evening functions, weekend operations, and emergency missions.
- Assist administrative units during logistics bottlenecks, managing meeting room preparations, office asset moves, and store inventories.
Skills & Experience Required
Minimum Entry Criteria
- Academic Foundation: Minimum of an O-Level Certificate or Kenya Certificate of Secondary Education (KCSE) qualification.
- Driving Longevity: Minimum of 5 years of verified accident-free driving experience navigating complex city networks inside Nairobi and rugged routes across Kenya.
- Credentials: Valid, clean driving license coupled with a current, valid Certificate of Good Conduct.
- Tactical Abilities: Documented certifications in defensive and evasive driving techniques alongside practical experience running office reception setups.
- Linguistic Fluency: Elite command of both written and spoken English and Swahili languages.

- Diplomatic Background: Previous operational experience working within international organizations, embassies, or United Nations agencies.
- Specialized Fleet Mastery: Documented certifications or practical experience operating armored vehicles is a strong advantage.
