Role Overview
The Candidate Care Specialist helps make CHAI’s hiring process clear, responsive and consistent for applicants around the world. Working across active searches, you’ll keep candidate communication and recruitment records on track, coordinate with recruiters and hiring managers, and identify delays that need attention so candidates are not left without an update.
Key Responsibilities
- Support timely, clear communication with external and internal candidates throughout each stage of the recruitment process, including when delivering decisions.
- Coordinate with recruiters and hiring managers to obtain updates, resolve outstanding actions and highlight delays that could stall a search.
- Review iCIMS information to identify candidates who have not been progressed, updated or dispositioned within agreed timeframes, and direct exceptions to the appropriate team members.
- Keep candidate profiles, recruitment stages and other records accurate and current in iCIMS so the system reflects each candidate’s actual status.
- Help arrange interviews by coordinating schedules, logistics and candidate updates across multiple searches and time zones.
- Support the day-to-day administration of internal mobility, helping ensure internal opportunities are communicated and applications are managed consistently.
- Prepare regular candidate experience updates for the TA management team, summarising what is working and where follow-up is needed.
- Respond to candidate questions and concerns with care and professionalism, involving a recruiter or manager when an issue requires their input.
Requirements & Qualifications
- Experience in recruitment, HR or a related coordination, operations or candidate-facing role, with an understanding of the steps involved in a well-managed hiring process.
- Practical ATS experience; familiarity with iCIMS is relevant to maintaining records, updating stages and monitoring candidate progress.
- Ability to work with recruitment data and reporting, spot process exceptions and communicate clearly where action is required.
- Strong organisation and attention to detail, with the discipline to manage high volumes of work across several concurrent searches.
- Clear, professional written communication and the judgement to respond appropriately to candidates at different stages, including when sharing disappointing news.
- Persistence and tact when following up with busy colleagues, along with the ability to build cooperation without direct authority.
- Comfort working with distributed teams across time zones and coordinating searches spanning multiple regions.
- Knowledge of global health or international development sufficient to communicate credibly with candidates about CHAI’s work.
- Experience with an international NGO, global health or international development organisation, or with recruitment exception reporting, is an advantage.
