Job Description

As Assistant Finance Officer, you will be the hands-on backbone of the college's accounting operations, ensuring that every cash receipt, supplier payment, and ledger entry is captured accurately and on time. Your day-to-day work keeps the institution's financial records audit-ready, supports smooth procurement and tax compliance, and gives the finance team the reliable data needed for budgeting and reporting.

Role Overview

Working closely with the finance team, you will handle the full cycle of transactional accounting — from logging daily receipts and payments to reconciling bank activity and processing supplier invoices. Your attention to detail directly protects the college from discrepancies, late penalties, and audit findings, making you a trusted gatekeeper for financial accuracy.

Key Responsibilities

  • Record all daily cash receipts, payments, and bank transactions into the general ledger with correct account codes and proper supporting documentation.
  • Perform regular bank reconciliations, investigating any mismatches between internal records and bank statements, and resolving them promptly.
  • Process supplier invoices by verifying amounts, purchase orders, delivery notes, and approval signatures before scheduling payments.
  • Review procurement documentation to ensure all purchases meet college policies, budget limits, and delegated authority thresholds.
  • Assist with computing and filing taxes, statutory deductions, and other regulatory dues, keeping track of deadlines and submission records.
  • Organise and maintain financial files and receipts — both physical and digital — so that internal reviews and external audits can be completed effortlessly.
  • Support month-end closing by preparing journal entries, reconciling control accounts, and highlighting any unusual transactions.
  • Respond to queries from suppliers, staff, and auditors regarding invoices, payments, and supporting paperwork.

Requirements & Qualifications

  • Degree or Diploma in Finance, Accounting, Business, or a closely related field.
  • At least one year of relevant experience in a transactional accounting or finance support role, with exposure to daily bookkeeping and reconciliations.
  • Strong Microsoft Excel skills, including the use of formulas, pivot tables, and VLOOKUPs for reconciliations and data analysis.
  • Hands-on experience with computerised accounting systems such as QuickBooks, SAP, or Sage.
  • Solid understanding of double-entry bookkeeping, accounts payable, and basic tax compliance principles.
  • Ability to work with precision, spot errors, and take initiative to correct them before they escalate.
  • Good organisational skills and the ability to prioritise tasks during busy month-end and tax filing periods.
  • Effective written and verbal communication skills to interact with colleagues, suppliers, and external auditors.
