Job Description

Role Overview

This position sits at the intersection of commercial operations and financial control, ensuring that every sale, dispatch, and customer payment is accurately reflected in the company’s books. Day to day, you will own the full order-to-cash cycle for a fast-paced FMCG environment: issuing invoices, chasing outstanding balances, clearing reconciliations, and protecting the business from credit risk. By keeping debtor days low and ledgers precise, you directly safeguard cash flow and enable the finance team to report with confidence each month.

Key Responsibilities

  • Prepare and post customer invoices, credit notes, and debit memos in the ERP, cross-checking each transaction against delivery notes and sales orders to eliminate errors before they reach the ledger.
  • Maintain customer master data and account balances, updating receipts, adjustments, and disputed items so the receivables sub-ledger always matches reality.
  • Run and review monthly ageing reports, identifying overdue accounts, credit limit breaches, and unusual payment patterns, then escalating findings to the Finance Manager with clear recommendations.
  • Reconcile customer statements with internal records on a regular cycle, investigating mismatches in pricing, discounts, returns, or allocations until every variance is resolved.
  • Conduct structured collection follow-ups by phone, email, and occasional field visits, balancing firmness with professionalism to keep long-term client relationships intact.
  • Collaborate with sales, logistics, and customer service teams to unblock held orders, clarify disputed invoices, and process return credits or pricing corrections quickly.
  • Support the month-end close by preparing receivables schedules, journal entries, and supporting documentation for internal and external audit requirements.
  • Keep a well-organised digital archive of all billing, receipt, and client correspondence, ensuring any document can be retrieved within minutes.

Requirements & Qualifications

  • Bachelor’s degree in Finance, Accounting, Commerce, or a related business discipline; a CPA (K) or ACCA qualification (or active progress toward it) is strongly preferred.
  • At least two years of hands-on experience in accounts receivable, credit control, or revenue accounting, ideally in FMCG, manufacturing, or commercial distribution environments.
  • Proven ability to work with ERP systems such as SAP, Sage, QuickBooks, or Dynamics Navision, alongside advanced MS Excel skills in pivot tables and VLOOKUP.
  • Strong numerical accuracy and attention to detail, with the discipline to spot a misplaced payment or a subtle ledger discrepancy before it becomes a problem.
  • Clear, professional communication skills, especially when negotiating payment schedules or explaining account adjustments to external clients.
  • Ability to prioritise a high-volume workload, meet month-end deadlines, and adapt to changing commercial priorities without losing accuracy.
