Role Overview
This position handles the day-to-day financial record-keeping for a property management and accounting services operation based along the Kikuyu / Kiambu Road corridor. Working closely with the Senior Accountant and Finance Manager, you will keep the books accurate and up to date by posting transactions, reconciling bank activity, and monitoring rental income across a portfolio of tenants. Your attention to detail directly supports management decisions on arrears, cash flow, and statutory tax filings, making you a critical link between daily operations and reliable financial reporting.
Key Responsibilities
- Post daily receipts, supplier invoices, tenant payments, and journal entries into QuickBooks with accurate coding and supporting documentation.
- Perform monthly bank statement reconciliations and investigate any discrepancies between bank records and the general ledger.
- Maintain the accounts receivable and accounts payable sub-ledgers, verifying invoice details, payment terms, and vendor information before processing.
- Track rental payments from tenants, issue official receipts, and update individual tenant ledgers and payment statements promptly.
- Prepare rent arrears schedules, monitor outstanding balances, and follow up professionally with tenants on overdue amounts and agreed payment plans.
- Compile monthly collection summaries, arrears reports, and income-expense schedules for review by the Finance Manager.
- Support tax compliance by organising KRA-related records, preparing schedules for statutory obligations, and maintaining a clear audit trail for all filings and payments.
- Assist with month-end closing procedures, including ledger balancing, trial balance verification, and archiving of physical and digital vouchers for audit readiness.
Requirements & Qualifications
- Diploma or Bachelor’s degree in Accounting, Finance, Commerce, or a closely related field.
- A minimum of 2 years of hands-on experience in accounting, bookkeeping, or accounts receivable work.
- Strong practical proficiency in QuickBooks accounting software and Microsoft Excel, including formulas, lookup functions, and data tables.
- Progress toward a professional accounting certification such as CPA (any completed section) is an added advantage.
- Experience with tenant rent collections, property accounts, or credit control is highly preferred.
- High numerical accuracy and attention to detail when posting entries, reconciling figures, and verifying balances.
- Demonstrated integrity and discretion when handling company funds and confidential financial records.
- Professional communication skills with the ability to discuss overdue accounts tactfully and negotiate payment terms with tenants or clients.
