Job Description

Position Title: Accountant

Employment Nature: Full-time

Remuneration: Kshs. 60,000 – 70,000 (Gross)

Location: Rongai, Nairobi

Role Mandate

We are looking for a highly organized Accountant to join a well-established educational institution known for its commitment to holistic learning and financial transparency. In this role, you will be the backbone of the finance department, ensuring that day-to-day operations align with strict governance standards. You will manage everything from student fee invoicing and payroll to statutory compliance and grant tracking. This position is perfect for an analytical professional who enjoys working with QuickBooks and cross-functional teams to maintain high levels of accountability and fiscal health.

Functional Responsibilities

Financial Reporting & Systems Management

  • Maintain comprehensive day-to-day accounting records using QuickBooks, ensuring data integrity at all times.

  • Prepare accurate and timely financial reports for management review, highlighting key performance metrics.

  • Conduct monthly bank and M-Pesa reconciliations by the 10th of every month.

  • Support the institutional budgeting, forecasting, and long-term financial planning processes.

  • Prepare detailed audit schedules and provide full support during annual external audit cycles.

Revenue & Expenditure Oversight

  • Generate school fee invoices, track collections, and issue receipts for all institutional income.

  • Manage the accounts payable ledger, verifying vendor invoices and ensuring timely supplier payments.

  • Oversee the Accounts Assistant to ensure the quality and accuracy of junior-level financial entries.

  • Perform weekly cash and petty cash reconciliations to maintain airtight financial controls.

  • Record and monitor grants and donations, ensuring full compliance with donor reporting requirements.

Payroll & Statutory Compliance

  • Prepare and process the monthly payroll, ensuring absolute accuracy in all statutory deductions (PAYE, NSSF, SHA, NITA, WHT, etc.).

  • Ensure all statutory returns are submitted to the relevant authorities within the legal deadlines.

  • Stay current with Kenyan tax regulations and financial best practices to keep the institution fully compliant.

  • Maintain an up-to-date fixed assets register and manage stock reconciliation processes.

Professional Requirements

Background & Experience

  • Education: Bachelor’s degree in Accounting, Finance, or a related field.

  • Professional Qualification: CPA (K) or an equivalent professional qualification is highly preferred.

  • Tenure: Minimum of 5 years of accounting experience, with a preference for those who have worked in education or non-profit sectors.

  • Technical Skills: Proficiency in QuickBooks and a strong grasp of Kenyan tax laws.
