Role Overview
This position keeps the Synkron Training Center running smoothly by handling the administrative backbone of every course, from the first enquiry to the final certificate. You will be the person trainees and corporate clients rely on for clear communication, accurate records, and well-organised logistics, ensuring that each programme feels professional and effortless. By taking ownership of the scheduling, registration, documentation, and follow-up, you enable the training specialists and instructors to focus their energy on delivering excellent technical content rather than getting lost in paperwork.
Key Responsibilities
- Act as the first point of contact for all incoming training enquiries, responding to calls, emails, web forms, walk-in visitors, and referrals with accurate course details and friendly, efficient guidance.
- Manage the end-to-end registration journey for each trainee, including collecting application forms, verifying supporting documents, confirming payment status, issuing joining instructions, and maintaining a complete digital file for every participant.
- Own the master training calendar, balancing course dates, trainer availability, room bookings, laboratory or equipment needs, virtual sessions, and client-site programmes so that no conflicts arise and all changes are communicated promptly.
- Coordinate the practical side of every training session, from pre-course participant lists and materials to on-the-day check-in, attendance tracking, and post-course activities such as feedback collection, assessment paperwork, and certificate distribution.
- Monitor trainee engagement and satisfaction throughout their learning journey, proactively following up on absences, resolving administrative concerns, and escalating any complex complaints to the training specialist where needed.
- Support corporate clients who enrol their employees in training, acting as the dedicated administrative coordinator for those accounts, managing participant nominations and logistics, and keeping accurate records that strengthen repeat business relationships.
- Maintain precise records across registrations, assessments, completions, and certifications, while also handling learner profiles, course assignments, and reporting within the learning management system to ensure data is always current and accessible.
- Keep the training centre itself organised by managing room setups, refreshments, signage, office supplies, travel arrangements, and reporting, and contribute to improving the standard operating procedures that keep everything running efficiently.
Requirements & Qualifications
Education & certifications
- Bachelor's degree or diploma in business administration, office administration, customer service, education administration, human resources, hospitality, marketing, or a related field.
- Certification in customer service, training administration, or learning management systems is an advantage.
Professional experience
- 2–4 years in an administrative, training coordination, customer service, academy administration, education administration, hospitality, or client service role.
- Hands-on experience organising training programmes, workshops, events, or structured learning activities is strongly preferred.
- Direct experience supporting customers, students, candidates, or corporate clients, ideally with responsibility for registrations, calendars, and participant communications.
- Familiarity with an LMS, CRM, or similar digital platform, plus exposure to technical training centres, professional academies, educational institutions, or corporate learning environments.
- Experience with fee-paying or commercial training programmes is desirable, as is a track record of managing multiple schedules and stakeholders simultaneously without losing attention to detail.
