Job Overview
Our client is a residential property in Nairobi looking for an experienced and dependable Property Caretaker to take day-to-day ownership of their estate operations. This is a hands-on, on-the-ground role that demands someone who is present, proactive, and genuinely takes pride in how a well-run estate looks and feels. From coordinating repairs and managing service providers to handling resident concerns and maintaining security standards, you will be the person that both residents and management rely on to keep everything running as it should. Key Responsibilities
Estate Operations Management
- Oversee daily estate operations to ensure cleanliness, safety, and full functionality of all shared and common areas
- Conduct routine inspections of buildings, common areas, parking spaces, landscaping, and utility systems
- Ensure estate facilities including water systems, lighting, and waste management infrastructure are operating correctly at all times
- Monitor and enforce adherence to estate rules and guidelines by residents, visitors, and service personnel
Tenant & Resident Relations
- Serve as the primary point of contact for all residents on estate-related issues, concerns, and day-to-day requests
- Address tenant complaints promptly, professionally, and with a clear resolution focus
- Enforce estate regulations and policies firmly while maintaining respectful and positive resident relationships
- Facilitate smooth communication between residents and the property management team
Maintenance Coordination
- Proactively identify maintenance issues across the estate and coordinate timely repairs and servicing
- Liaise with and manage contractors and service providers including plumbers, electricians, and landscapers
- Ensure preventive maintenance schedules are consistently followed for key infrastructure and critical equipment
- Monitor and verify the quality of all work performed by external service providers before sign-off
Supervision of Service Providers
- Coordinate and oversee all third-party service providers operating on the estate including security personnel, cleaning staff, landscaping teams, and waste collection services
- Hold service providers accountable to contractual standards and ensure services are delivered efficiently and on schedule
- Maintain attendance records and performance documentation for all service providers where applicable
Security & Safety Oversight
- Work closely with the on-site security team to ensure the estate remains safe, secure, and well-controlled at all times
- Monitor and enforce access control procedures for visitors, delivery personnel, and contractors entering the estate
- Report security incidents, breaches, or suspicious activities to management promptly and accurately
- Ensure all residents and staff are aware of and follow established emergency procedures
Reporting & Record Keeping
- Maintain thorough, accurate records of all maintenance activities, incidents, resident complaints, and completed repairs
- Prepare clear periodic operational reports for the Property Manager or Estate Manager covering estate performance and outstanding issues
- Track service provider performance consistently and escalate operational issues requiring management attention in a timely manner
Requirements & Qualifications
- Diploma in Property Management, Real Estate Management, Facilities Management, or a related field
- 4 to 5 years of proven experience in property management, estate operations, or a closely related role
- Demonstrated experience managing operations within large residential estates or multi-unit developments
- Prior experience working in high-density residential estates of 100 units and above is strongly preferred
- Strong communication and interpersonal skills with the ability to engage professionally with residents, contractors, and management
- Proven ability to manage tenant and resident relationships with patience, professionalism, and firmness where required
- Well-organized with solid problem-solving skills and the ability to think on your feet during operational challenges
- Demonstrated ability to coordinate multiple service providers simultaneously without dropping the ball
- Competent in basic administrative duties including reporting, record-keeping, and documentation
- High level of personal integrity, accountability, and discretion in handling estate matters
- Self-driven and able to respond quickly and decisively to operational issues with minimal supervision
