Key Responsibilities
° Recruitment & Onboarding – Designing job descriptions, posting job ads, shortlisting candidates, scheduling interviews, preparing interview materials, and coordinating the onboarding process for new hires.
° HR Records Management – Developing and maintaining an up-to-date HR filing system (both physical and digital), ensuring all employee files contain required documents such as contracts, performance reviews, and disciplinary records.
° Policy Development – Drafting, updating, and communicating HR policies, procedures, and employee handbooks to ensure staff are aligned with organizational standards and practices.
° Legal Compliance – Monitoring changes in Kenyan labor laws and advising management on compliance, while ensuring proper documentation for NSSF, NHIF, PAYE, and other statutory requirements.
° Benefits & Welfare Administration – Coordinating medical schemes, insurance, staff welfare initiatives, and wellness activities while addressing employee welfare concerns promptly.
° Employee Relations – Acting as the first point of contact for employees on HR-related issues, handling grievances, facilitating conflict resolution, and supporting a healthy workplace environment.
° Induction & Orientation – Preparing and delivering structured induction programs that familiarize new employees with company culture, values, and policies.
° Training & Development – Identifying skills gaps, preparing annual training plans, coordinating external/internal training sessions, and maintaining training records for compliance and growth tracking.
° Performance Management – Coordinating appraisals, tracking performance goals, supporting managers with performance improvement plans, and ensuring fair and consistent evaluations.
° HR Reporting – Preparing periodic HR reports (e.g., headcount, turnover, absenteeism, training impact, disciplinary cases) and presenting insights for management decision-making.
° Attendance & Leave Management – Managing leave calendars, monitoring absenteeism trends, ensuring compliance with company leave policies, and reconciling with payroll data.
° Payroll Management – Collating and verifying attendance, overtime, allowances, and deductions to provide accurate data for payroll processing in coordination with the finance team.
° Health & Safety Compliance – Supporting workplace safety initiatives, conducting routine checks, ensuring compliance with occupational health regulations, and facilitating staff safety training.
° Employee Engagement – Designing and coordinating staff engagement activities such as team-building, recognition programs, and CSR events to boost morale and retention.
° HR Advisory Role – Providing management and employees with guidance on HR policies, labor law issues, disciplinary matters, and general HR best practices.
Qualifications & Skills
° Bachelor’s degree in Human Resource Management, Business Administration, or related field.
° CHRP certification or equivalent HR qualification is an added advantage.
° Minimum of 2 years’ HR experience in a busy work environment.
° In-depth knowledge of Kenyan labor laws and HR best practices.
° Strong interpersonal, communication, and problem-solving skills.
° High level of integrity, confidentiality, and attention to detail.
° Proficiency in MS Office Suite and HR Information Systems (HRIS).
