We are looking for a professional and friendly Receptionist to manage our front desk and provide administrative support to our real estate team. The ideal candidate will be the first point of contact for clients and visitors, ensuring a welcoming and professional environment.
Key Responsibilities:
Front Desk Management:
Greet and welcome clients, visitors, and agents in a friendly and professional manner.
Answer, screen, and forward incoming phone calls to the appropriate departments.
Maintain a tidy and presentable reception area with all necessary materials (brochures, property listings, etc.).
Administrative Support:
Manage office calendars, schedule meetings, and set appointments for real estate agents.
Assist in handling emails, correspondence, and inquiries from clients.
Maintain and organize office documents, contracts, and client records.
Order and manage office supplies and inventory.
Customer & Client Assistance:
Provide property information to walk-in clients and answer general real estate inquiries.
Assist in preparing and updating property listings, flyers, and promotional materials.
Coordinate with clients for property visits, meetings, and document collection.
Coordination & Support:
Work closely with real estate agents and property managers to support their daily tasks.
Assist in organizing company events, property exhibitions, and client meetings.
Handle incoming and outgoing mail, courier services, and deliveries.
Data Entry & Reporting:
Maintain and update client databases with accurate information.
Generate reports related to office operations and real estate transactions.
Support HR or management in administrative duties when required.
Qualifications & Requirements:
High school diploma or equivalent (Bachelor’s degree preferred).
1-3 years of experience in a receptionist, administrative, or customer service role (real estate experience is a plus).
Strong verbal and written communication skills in [Specify Languages – e.g., English, Arabic, Hindi, etc.].
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and CRM systems.
Ability to multitask, prioritize tasks, and work under pressure.
Excellent interpersonal skills and a professional appearance.
Knowledge of real estate terms, transactions, and property listings (preferred but not mandatory).
