Our client in the Real Estate Industry is looking to hire an Admin Manager to oversee the day-to-day administrative operations of their real estate company. This role involves managing caretakers, property managers, and other administrative staff to ensure smooth property management and office operations. The ideal candidate will have strong leadership, organizational, and problem- solving skills, with a background in real estate or property management preferred.
Key Responsibilities:
Staff & Operations Management
Supervise and coordinate the activities of caretakers, property managers, and office staff.
Assign tasks, monitor performance, and ensure efficient workflow within the team.
Provide training and guidance to staff, ensuring adherence to company policies and industry best practices.
Property & Facility Management
Ensure caretakers properly maintain and manage properties, including regular inspections and upkeep.
Work closely with property managers to oversee tenant-related matters, lease agreements, and property maintenance issues.
Address and resolve any property-related complaints or concerns from tenants and owners.
Administrative Duties
Oversee office administration, including document management, contracts, and company records.
Ensure compliance with local property regulations, real estate laws, and company policies.
Manage office supplies, vendors, and service providers.
Handle correspondence, reports, and general communication on behalf of the company.
Financial & Budget Management
Assist in budgeting and financial planning for property maintenance and office administration.
Oversee petty cash, invoicing, and expense tracking for administrative and property-related costs.
Collaborate with the finance team to ensure accurate record-keeping and reporting.
Communication & Coordination
Act as a liaison between property owners, tenants, staff, and external stakeholders.
Coordinate with legal, accounting, and other departments to ensure smooth company operations.
Address and resolve conflicts among staff, tenants, or external service providers.
Qualifications & Skills:
Bachelor’s degree in business administration, Real Estate Management, or a related field.
Minimum 5 years’ experience in a managerial role, preferably in the real estate industry.
Experience managing property manager or caretakers.
Strong leadership and team management skills.
Excellent organizational and multitasking abilities.
Proficiency in Microsoft Office Suite and property management software.
Strong communication and problem-solving skills.
Knowledge of local property laws and real estate regulations is an advantage.
