Our client is a credit-only microfinance company looking to hire a Human Resource Officer. The job holder is responsible for ensuring that the organisation achieves its mission and attains its vision by attracting, recruiting, and developing, motivating and ensuring retention of skilled resources who deliver satisfaction to customers.
Responsibilities.
- Co-ordinate and support all aspects of the recruitment and selection processes in the organization through development of job description, recruitment planning, advertising and short-listing, selection interviews and tests, regularly updating the hiring status report, making job offers and implementation of approved salary packages.
- Ensure timely production of contracts of employment for all newly employed staff upon selection in compliance with the legal requirements for record keeping.
- Develop, review and implement the induction process within five days of employment to enable new employees quickly adjust to their new role and working environment.
- Ensure annual development and implementation of Key Performance Indicators (KPIs) for individual staff members in the organization and retain a copy in the individual staff files.
- Keep a monthly track of the probationary end periods and ensure system notifications have been received by immediate supervisors on time after which a report submission is done to HR and timely communication to the employees on the decision of their probationary status.
- In liaison with line managers, ensure that monthly performance evaluations for all employees are taking place and offer the necessary support to ensure effectiveness of the process and improved productivity in reference to the assigned performance goals.
- Work closely with other HR colleagues on a daily basis to develop and implement best HR practice, strategies, policies, programs and initiatives that promote implementation of the overall business performance in reference to the Labor Laws and Employee Handbook.
- Provide daily support to the sales workforce in correspondence to codes creation requests to keep track of newly on-boarded sales associates and foster new business for attainment of the company’s sales objectives.
- Provide ongoing advisory services and support to staff on human resource related matters, policies and procedures to ensure all decisions on people management are well advised and compliant with the company’s employee handbook as well as labour laws.
- Carry out voluntary exit interviews to ascertain the employees’ work experience with the company and identify areas of improvement where applicable and document monthly reports for provision to the management.
- Facilitate employee clearances in liaison with immediate supervisors, making sure the staff has accounted for all company assets assigned for their use after which preparation of their final dues and letter of service is done within a month.
- Prepare the monthly payroll and ensure that all statutory deductions are submitted on time in liaison with the Finance/Accounts department for purposes of payment of employee salary.
- Prepare and present HR reports as needed incorporating emerging issues, internal and external HR trends and highlighting areas of concern to ensure good HR practice.
- Ensure weekly maintenance of the HR database and filing system including proper and up to date files for each staff member, both manually and electronically (D365) while maintaining confidentiality.
- Coordinate trainings and HR activities such as employee sensitization talks, seminars, teambuilding, end year parties as per the organizational calendar of events to ensure objectivity and success of the events.
- Liaising with service providers on a monthly basis in regards to HR related matters, to facilitate medical and pension applications of new staff members and addition of dependents joining the schemes.
- Receiving and dispatch of staff documents on a weekly basis via courier services in liaison with Admin Department to ensure timely communication to employees of the decisions to their contractual terms and updating the same to the respective employee files.
- Liaise with the legal department to address staff grievances and carry out disciplinary actions as per company’s disciplinary policy in compliance with the labor regulations
- Implement and practice the principles of QMS in the daily job activities to ensure excellent and quality service delivery to staff members.
- Ensure self-development is completed as per the training identified in the KPIs.
- Ensure the rest of the teams are trained and attendance recorded in liason with the training manager as per the annual training calendar

Qualifications
- Bachelor’s degree preferably in the field of Human Resources Management or a post graduate Diploma in Human Resources Management.
- Minimum of 2-3 years relevant work experience in Human Resource Management.
- A valid practicing certificate from IHRM will be desirable
- In depth knowledge of Kenyan employment labor laws and practices.
- Good computer skills particularly in use of Human Resources Information Systems and hands on-experience with MS Suite-Word, Excel, PowerPoint.
- Highly organized, attention to detail and ability to prioritize multiple responsibilities.
- Demonstrated coaching skills, with an ability to inspire, influence and motivate teams.
- Proven ability to maintain confidentiality and delicately solve sensitive matters.
