Key Responsibilities:
Strategic Execution:
Lead the creation and implementation of best practice warehouse vision, strategy, policies, processes, and procedures to aid and improve operational performance.
Cascade the warehouse strategy to the teams and ensure adoption.
Direct the creation of warehouse SOPs, oversee their implementation and adoption.
Strategic Delivery:
Contribute to the creation and implementation of best practice logistics vision, strategy, policies, processes, and procedures.
Interpret trends, analyze data, and provide meaningful logistics data to aid customer service, cost improvements, and business decisions.
Operational Delivery:
Deliver solutions to logistics problems while maintaining high levels of quality and service within budgetary requirements.
Monitor quality, quantity, delivery times, and transport costs, advising the business on improvements.
Support continuous improvement initiatives and identify inefficiencies and cost optimization opportunities.
Prepare annual budgets and periodic reports on operating costs, vehicle purchase/lease, and maintenance.
Order Fulfillment:
Ensure integrity and inventory accuracy, manage stock movements during delivery.
Ensure customer orders are delivered On Time and In Full (OTIF) and enforce Mpesa payment during delivery.
Oversee the delivery model based on route plans, customer numbers, and order quantities.
Policy Management:
Lead the creation and implementation of logistics principles, policies, and processes.
Drive adherence to SOPs ensuring compliance.
Inventory Management:
Monitor and advise management on inventory levels and risks.
Collaborate with purchasing and commercial teams to ensure an aligned supply of goods to warehouses.
Coordinate frequent stock/cycle counts with the finance team.
Supervise proper handling of products and supplies.
Manage slow-moving and obsolete stock.
Operational Efficiency:
Ensure warehouses operate at peak efficiency, minimizing stock loss due to damages and expiries.
Review and optimize warehouse processes through value stream mapping.
Implement initiatives to achieve business results and drive continuous improvement.
Order Processing Management:
Supervise order processing in accordance with laid down processes and procedures.
Ensure adherence to FIFO and FEFO.
3rd Party Service Provider Management:
Negotiate rates and contracts with transportation and logistics providers.
Manage 3PL providers to ensure proper service delivery and timely customer deliveries.
Monitor service delivery against agreed performance criteria.
Compliance & Risk Management:
Formulate and ensure adherence to inventory management policy.
Lead the formulation and compliance of warehouse management operational SOPs.
Fleet Management:
Coordinate with 3PL providers and Dispatch Supervisors for fleet maintenance and efficient utilization.
Monitor running costs and oversee vehicle insurance policies and claims.
Develop and implement fleet administration standards and vehicle operating policies.
Performance Management:
Establish and monitor warehouse performance to achieve established objectives, goals, and standards.
Drive a high-performance culture through one-on-one meetings, performance appraisals, and employee engagement.
People Management:
Manage, coach, and develop a high-performing team.
Set departmental objectives/KPIs and review ongoing performance.
Health & Safety Management:
Provide a safe working environment and ensure adherence to Health, Safety, and Environmental procedures.
Conduct safety inspections and ensure OSHA certificates are renewed.
Qualifications:
Bachelor’s degree in Supply Chain or a related field.
Master’s degree and relevant professional qualifications are an advantage.
Minimum of 5-6 years of experience in a warehousing environment with at least 2 years of management experience.
Knowledge of inventory and supply chain management.
Expertise in warehouse management procedures and best practices.
Proficiency in warehousing systems, data entry software, and Microsoft Suite.
Experience running multiple warehouses, preferably in FMCG, Retail, or Manufacturing industries.
Understanding of health and safety and security requirements.
Ability to implement process improvement initiatives.
Strong knowledge of warehousing Key Performance Indicators (KPIs).
