Role Overview
This role is the administrative backbone of a busy hospital unit, keeping patient flow, records, and billing accurate while the clinical team focuses on care. Day to day, you will own the unit’s census and bed board, coordinate admissions, transfers, and discharges, and serve as the first point of contact for calls, visitors, and scheduling needs. Your precision directly affects patient billing, physician reimbursements, and the unit’s ability to admit new patients without delay.
Key Responsibilities
- Maintain the unit’s daily census in the hospital system, assigning beds accurately and ensuring each patient is placed in the correct billing class.
- Process and communicate all patient admissions, internal transfers, and discharges to the Nurse Manager and relevant departments in real time.
- File insurance forms, diagnostic results, and clinical reports according to hospital record-keeping policies, and forward completed patient records to the Medical Records Department.
- Monitor stationery supplies for the unit and nursing stations, manage unit stock levels, and process prompt billing for consumables, drugs, and professional fees used during unit procedures.
- Support the Nurse Manager with the distribution and collection of patient satisfaction surveys, and follow the hospital’s complaint-handling process when concerns arise.
- Keep patient services staff and duty managers informed about available beds, and coordinate follow-up appointments with patient services and consulting clinic staff.
- Handle incoming calls, greet and direct visitors and staff, manage appointment schedule changes in consultation with physicians, and work with security to control visitor access.
- Participate in unit-based quality improvement projects and take on additional tasks as assigned by the Nurse Manager.
Requirements & Qualifications
- Minimum O’level certificate.
- Certificate or diploma in Computer Operations.
- Certificate or experience in Front Office Management.
- At least two years of front office experience in a fast-paced organization.
- Heart saver certification is an added advantage.
- Excellent written and verbal communication skills.
- Ability to collaborate effectively within a multidisciplinary team.
- Respectful and professional approach toward colleagues, patients, and their families.
