Role Overview
Based at a concrete products plant in Kisumu, the Stores & Materials Controller manages the receipt, storage, recording and issue of raw materials, spare parts and other supplies. The role works closely with production, maintenance, procurement and finance to keep inventory records reliable, prevent unauthorized stock movements and ensure materials are available when the plant needs them.
Key Responsibilities
- Check material requests against approved requisitions and active production or maintenance work before releasing stock.
- Enter receipts, issues and authorised adjustments into the inventory or ERP system promptly, keeping recorded balances aligned with physical stock.
- Inspect incoming goods against purchase orders and delivery documents; record accepted deliveries and raise concerns about shortages, damage or specification mismatches.
- Reconcile purchase orders, delivery notes and goods received records to support accurate supplier invoice checks.
- Conduct routine cycle counts and investigate discrepancies, maintaining inventory variance within the stated target of less than 1% of stock value.
- Set and review reorder points, minimum quantities and safety stock levels for materials, tools and personal protective equipment, using stock levels and production plans to inform replenishment requests.
- Track outstanding purchase orders, follow up delayed deliveries and alert plant management to supply risks; maintain an open-order register and review supplier on-time, in-full performance quarterly.
- Keep storage areas orderly, secure and clearly identified, using FIFO rotation where appropriate for materials such as cement and chemical admixtures.
Requirements & Qualifications
- Diploma in Supply Chain Management, Procurement, Stores Management, Business Administration or a related field.
- Practical experience in stores, materials handling or inventory administration, ideally in manufacturing, plant operations or construction.
- Working knowledge of inventory software or ERP systems, including recording goods received, stock adjustments and reorder alerts.
- Experience checking deliveries against purchasing documents and carrying out physical stock counts and reconciliations.
- Strong attention to detail, sound organisation and the ability to maintain accurate records in a busy plant environment.
- Integrity and confidence to question or decline requests that do not follow authorised procedures.
