Role Overview
This position is responsible for safeguarding the accuracy and integrity of physical inventory across all operational sites. You will spend your time moving between branch locations and warehouse facilities, comparing what is actually on the shelves against what the system says should be there, and digging into the root cause behind every discrepancy. Your work directly reduces stock losses, improves operational accountability, and gives management the confidence to make decisions based on reliable inventory data.
Key Responsibilities
- Perform both pre-planned cycle counts and unannounced spot checks at branch and warehouse locations to verify stock presence and condition.
- Reconcile physical counts against ERP records, flagging mismatches immediately and documenting the size and nature of each variance.
- Investigate the causes of stock shortages, surpluses, damaged goods, and suspicious movement patterns by tracing transaction history and speaking with warehouse staff.
- Review inter-branch transfers, customer returns, write-offs, and adjustment entries to ensure every stock movement is supported by proper approval and paperwork.
- Prepare clear, factual audit reports that highlight risk areas, quantify financial exposure, and recommend realistic corrective actions.
- Maintain a complete audit trail of every count, adjustment, and investigation so that all inventory decisions can be traced and verified later.
- Follow up with operations teams to confirm that recommended fixes have been implemented and that recurring issues are being resolved rather than repeated.
Requirements & Qualifications
- Diploma or Bachelor's degree in Accounting, Finance, Internal Audit, or a related discipline.
- 2–4 years of hands-on experience in stock auditing, inventory control, or internal audit, with exposure to retail, FMCG, warehousing, or multi-branch environments strongly preferred.
- Certification such as CPA, ACCA, CISA, or a recognised supply chain qualification is an added advantage.
- Proficiency in working with ERP platforms and inventory management systems, including running reports, checking transaction logs, and exporting data for analysis.
- Advanced Microsoft Excel abilities, including pivot tables, VLOOKUPs, and logical functions for reconciling large datasets.
- Strong analytical and numerical skills, with the ability to spot patterns, calculate variances, and detect anomalies quickly.
- Excellent written and verbal communication skills for producing audit documentation and presenting findings to branch managers and senior leaders.
- A solid understanding of internal control frameworks, stock valuation methods, and audit best practices.
