Role Overview
The Property Supervisor manages the estate’s day-to-day services, finances, facilities and resident communications, ensuring that essential operations are handled reliably and in line with Board decisions. The role provides residents and apartment owners with a responsive point of contact while giving the Board clear information on finances, maintenance, compliance and operational issues.
Key Responsibilities
- Coordinate estate service providers and oversee security, waste collection, pest control, fire equipment servicing and other contracted services, following up on performance and payment.
- Administer estate operating costs and statutory obligations, including insurance, land rent and rates, environmental licences, borehole permits and related levies.
- Check utility invoices for accuracy, arrange timely processing and payment, and compare water and electricity charges with recorded consumption.
- Prepare and issue approved service-charge invoices and meter-based water bills; record receipts, follow up overdue accounts, send reminders and report arrears monthly to the Chairman and Board.
- Maintain accurate, confidential records for residents and apartment owners, including contact details, unit information and tenant move-in and move-out dates.
- Manage official communication channels, respond to residents and owners within 24 hours, address routine concerns, and refer policy matters or sensitive disputes to the Board through the Chairman.
- Supervise caretakers, cleaners and gardeners, coordinate staffing needs, and inspect shared facilities and infrastructure with the caretaker.
- Keep complete financial records and supporting documents; submit monthly financial statements, bank reconciliations, arrears reports and payment schedules, and coordinate quarterly audits and KRA filings with the appointed auditor.
- Identify repair and preventive-maintenance needs, obtain quotations for Board consideration, oversee approved works, and provide the Board with a quarterly report on finances, services, collections, staffing, maintenance, compliance and resident issues.
Requirements & Qualifications
- CPA 1 qualification.
- At least five years of experience in property management.
- Strong capability in bookkeeping, financial administration, account reconciliation and preparation of management reports.
- Clear written and verbal communication skills, with the ability to manage resident enquiries and handle conflict constructively.
- High integrity and discretion when working with confidential resident, owner and financial information.
- Good organisation and time-management skills, with the ability to coordinate suppliers, staff, maintenance work and reporting deadlines.
- Strong relationship-management and customer-service skills.
