Role Overview
This role oversees daily pharmacy operations, combining safe dispensing and patient guidance with accurate stock, billing, and financial controls. The pharmacist helps ensure the pharmacy meets Kenyan regulatory requirements while keeping essential medicines available and sharing operational insights that support better service and planning.
Key Responsibilities
- Manage pharmacy activities in line with approved procedures, quality standards, infection-control practices, and applicable regulations.
- Check incoming medicines and other products for correct quantities, acceptable condition, quality, and expiry dates; store and issue stock using FEFO principles.
- Keep pharmacy licences and required records current, including Dangerous Drugs Act registers, temperature and hygrometer logs, stock records, and dispensing documentation.
- Maintain reliable HMIS inventory and billing records, reconcile physical stock against system balances, investigate variances, and report discrepancies promptly.
- Track stock levels, arrange timely replenishment, and take appropriate action on slow-moving, near-expiry, or expired items. Record missed sales through the designated reporting process.
- Dispense medicines against valid prescriptions, review relevant patient history in the HMIS where required, and explain medication use and preventive health information clearly.
- Record sales accurately, apply discounts only within authorised limits, reconcile shift sales with Paybill and other payment records, and deposit cash in accordance with company policy.
- Provide weekly operational updates to headquarters and escalate patient-safety, compliance, stock, cash, or billing concerns. Share relevant observations on demand, supply, pricing, competitors, and coordination with clinical teams.
Requirements & Qualifications
- Diploma in Pharmaceutical Technology from a recognised, accredited institution; a bachelor’s degree in Pharmacy or Pharmaceutical Sciences is an advantage.
- Current Pharmacy and Poisons Board (PPB) licence in Kenya, with no history of disciplinary action or suspension.
- At least two years of practical experience in a busy retail, clinic-based, or hospital pharmacy.
- Experience using a health management information system (HMIS) is strongly preferred.
- Working knowledge of Microsoft Excel or Google Sheets for inventory tracking and reporting; familiarity with pharmacy billing systems and digital health tools is an advantage.
- Strong attention to detail and the ability to communicate medication instructions clearly and respectfully.
