Role Overview
The Partner Engagement Associate supports the AHAIC 2027 Partnerships team in moving partner relationships from initial outreach through onboarding, conference delivery and close-out. The role keeps communications, partner commitments and internal coordination on track so agreed sponsorship benefits are accurately represented and delivered; strategic negotiations and formal approvals remain with Partnerships leadership.
Key Responsibilities
- Support the Partnerships team with prospective-partner outreach, sponsorship follow-up and ongoing relationship stewardship.
- Prepare draft emails, proposals, presentations, meeting briefs and follow-up notes for review, and coordinate meetings and action tracking.
- Maintain current records of partner contacts, pipeline status, agreements, invoices, registrations, deliverables and deadlines.
- Coordinate partner requirements with the Professional Conference Organizer and internal teams, including Programme, Events, Communications, Finance and session leads.
- Track delivery of agreed benefits such as speaking roles, sponsored sessions, exhibition space, branding, media engagement, registrations and networking opportunities.
- Collect and circulate session details, speaker biographies, photographs and technical requirements; check that approved information is accurately reflected in conference materials and online listings.
- During the conference, respond to assigned partners’ needs, coordinate delivery across teams, check branding and session arrangements, and raise gaps or risks promptly.
- After the event, coordinate requested materials such as photographs, recordings and presentations; record partner feedback and benefit delivery, update partnership files, contribute to reporting and hand over any open commitments.
Requirements & Qualifications
- Bachelor’s degree in business administration, marketing, communications, international relations, public health, development studies or a related discipline.
- At least 1–2 years of relevant experience in partnerships, fundraising, sponsorship, stakeholder engagement, business development, account support or event coordination.
- Experience supporting conferences, major events or multi-stakeholder initiatives is an advantage.
- Experience working with corporate partners, foundations, development partners or international organizations is desirable.
- Ability to maintain accurate partner databases, trackers or comparable systems and manage several deadlines and follow-up actions.
- Strong written and verbal communication, relationship-building, organization and attention to detail, with a professional manner when working with external stakeholders.
- Sound judgement, the ability to work independently and collaboratively, and confidence escalating unresolved issues or delivery risks.
- Ability to remain practical and composed in a fast-paced conference setting.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Teams.
- Fluency in English is required; working knowledge of French is an advantage.
