Operations Assistant - Floriculture

Role Overview

This position keeps perishable flower exports moving from the farm gate to the aircraft hold. Working alongside the Operations Manager, you will be the person on the ground at JKIA, customs, banks and airline counters — collecting and validating the paperwork that lets each consignment fly, checking that what was packed on the farm matches what is loaded for dispatch, and raising the alarm the moment something threatens a cut-off time or a cold-chain window. Because cut flowers lose value by the hour, the reliability of this role directly protects shipment schedules, customer commitments and the company's standing with its export partners.

Key Responsibilities

• Work alongside the Operations Manager to keep daily export and logistics activity on schedule, picking up whatever needs immediate attention.
• Move documentation between JKIA, customs offices, airline cargo desks, banks and other locations — delivering, collecting, verifying and processing paperwork at each stop.
• Track and keep current the status of flight details, air waybills, KEPHIS certificates and related export documents so that nothing lapses before a consignment departs.
• Travel to the farm when required to check packing sheets and dispatch records against actual loads, and to help close out discrepancies before they reach the airport.
• Support the coordination of flower dispatches from farm to airport, including monitoring cold-chain handling and reviewing temperature records while consignments are in transit.
• Follow up with airlines, clearing agents, transporters and other logistics partners on outstanding documents, confirmations or collection issues as directed.
• Maintain accurate, up-to-date records of shipments, documentation and operational activity so the Operations Manager can see the status of any consignment at a glance.
• Handle operational errands and urgent deliveries using company vehicles or a motorcycle, and escalate delays, documentation problems or other challenges promptly.

Requirements & Qualifications

• Diploma or certificate in logistics, supply chain, clearing and forwarding, agriculture or a comparable field.
• At least three years of experience in logistics, flower farm operations, air freight, perishable cargo or a similar operational environment.
• Prior exposure to export documentation or airport cargo operations is an added advantage.
• A valid Kenyan motorcycle riding licence is mandatory; a valid Kenyan driving licence is an advantage.
• Good working knowledge of Nairobi, JKIA and the surrounding routes.
• Comfortable with documentation and record-keeping, with the accuracy to keep several shipments straight at the same time.
• Able to work under pressure, react quickly when plans change, and stay composed as cut-off times approach.
• Willing to travel frequently between the office, the farm and the airport.
• Proactive and hands-on, able to work independently with minimal supervision and to see tasks through to completion.
• Reliable, accountable and a clear communicator who can deal confidently with airlines, agents, transporters and internal colleagues.
