IGL Logistics Inc. is seeking an organized and technology-focused Operations Administrative Assistant to support its growing Operations team. This fully remote position will work closely with the Director of Operations and assist teams across multiple warehouse locations, including Charlotte, Forest City, Phoenix, El Paso, and Austin.
The successful candidate will help improve operational processes by developing standard operating procedures, managing documentation, supporting system training, and identifying workflow improvements. This role is ideal for someone who enjoys creating structure, improving efficiency, learning new technology platforms, and helping teams perform better through clear processes.
Key Responsibilities:
• Provide administrative and coordination support to the Director of Operations and Operations teams.
• Support warehouse, domestic, and international operations through documentation, follow-ups, and communication.
• Maintain operational records, shared files, templates, reports, and recurring documentation.
• Assist with customer and shipment documentation, data entry, billing support, and issue resolution.
• Develop, maintain, and manage standard operating procedures (SOPs) for operational activities.
• Create training materials, user guides, checklists, and process documentation.
• Support the administration of operational platforms, including WMS, TMS, CRM, and related systems.
• Coordinate employee training and help ensure consistent system usage across teams.
• Prepare reports, trackers, dashboards, and management updates.
• Identify opportunities for automation, process improvements, and workflow efficiency.
Requirements:
• 2+ years of experience in administrative support, operations coordination, logistics, warehousing, transportation, or a related field.
• Strong written communication skills with the ability to create clear procedures and training materials.
• Excellent organizational skills with the ability to manage multiple priorities across different teams and locations.
• Ability to learn business software, troubleshoot basic user issues, and support process adoption.
• Proficiency in Microsoft Office, including Excel, Word, Outlook, and Teams.
• Strong attention to detail and professional judgment when handling operational and financial information.
Strong knowledge of:
• Microsoft Office Suite and operational documentation
• SOP development, process improvement, and workflow management
• Logistics operations, warehouse systems, and administrative coordination
