Job Description

Role Overview

A Nairobi-based law firm is looking for a reliable Legal Secretary to keep its daily legal and administrative work organised. You will support matters spanning corporate and commercial law, property, litigation, succession, and banking and finance by preparing documents, maintaining accurate records, coordinating schedules, and helping ensure court filings and deadlines are handled carefully.

Key Responsibilities

  • Draft, type, proofread, and format legal correspondence, contracts, pleadings, and other matter-related documents.
  • Set up and maintain client files, case records, office registers, and physical and electronic filing systems.
  • Submit court documents through e-filing systems and record filing details for follow-up.
  • Monitor court dates, filing deadlines, appointments, and other case milestones; update calendars and alert relevant staff.
  • Handle incoming and outgoing calls, emails, correspondence, and routine client enquiries.
  • Arrange meetings and coordinate with advocates, clients, court registries, and other parties involved in legal matters.
  • Scan, organise, retrieve, and securely store client documents, protecting confidential information.
  • Prepare routine office paperwork such as invoices, payment vouchers, and reports, and assist with general office coordination.

Requirements & Qualifications

  • A diploma in Law, Business Administration, Secretarial Studies, or a related discipline.
  • At least three years of relevant experience, preferably in a law firm.
  • Practical familiarity with legal documentation procedures and court e-filing.
  • Experience maintaining registers, client files, and structured records.
  • Proficiency with Microsoft Office applications.
  • Strong organisation, prioritisation, and time-management skills, with the ability to manage several tasks in a busy legal office.
  • Clear written and verbal communication, careful attention to detail, and sound problem-solving ability.
  • Demonstrated integrity and discretion when handling sensitive client information.
