IT Project Assistant – Support

Role Overview

The IT Project Assistant – Support is a hands-on coordination role that keeps technology initiatives moving from planning through delivery. Reporting to the IT Projects Supervisor or Project Manager, this person maintains the project’s day-to-day rhythm: schedules, documentation, status updates, issue follow-ups, and cross-team communication. The position matters because it gives project teams reliable administrative and tracking support, helping them spot delays early and deliver IT changes on time.

Key Responsibilities

  • Coordinate project schedules, task lists, and milestone trackers for assigned IT initiatives.
  • Track progress against plans, flag overdue items or dependencies, and help teams keep deliverables on track.
  • Maintain project documentation such as plans, status reports, meeting notes, presentations, and risk logs, keeping all records current and accessible.
  • Schedule meetings, capture minutes and decisions, and follow up with action owners until items are closed.
  • Act as a communication bridge between the IT project team, other departments, vendors, suppliers, and stakeholders.
  • Help track project resources and expenses, including personnel, equipment, software, and vendor deliveries, and report budget variances or supply issues to the supervisor.
  • Support risk and issue management by updating logs, escalating concerns, and helping document mitigation actions.
  • Assist with testing, deployment, and post-implementation coordination so new systems meet project requirements and transition smoothly; suggest practical improvements to project processes and tools.

Requirements & Qualifications

  • Diploma or bachelor’s degree in Information Technology, Project Management, or a closely related field.
  • At least one year of work experience or internship exposure in project management, IT support, or a similar technology-focused role.
  • Experience assisting or coordinating IT projects is an advantage.
  • Familiarity with project management tools such as Jira, MS Project, or Trello is a plus.
  • Basic understanding of IT infrastructure, systems, and the Software Development Lifecycle.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, for documentation, tracking, and presentations.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills for collaborating with project teams, vendors, stakeholders, and other departments.
  • Good documentation, reporting, and follow-up skills.
  • Willingness to learn and support continuous improvement in IT project delivery.
