Job Description

Role Overview

Support the HR team as it introduces a new HR information system, helping prepare employee data, check the system’s features, and coordinate with the developer as issues arise. Alongside the implementation, you will help keep employee documentation and renewal dates organised and contribute to everyday HR administration, building practical experience across core HR activities.

Key Responsibilities

  • Coordinate with the HRIS developer or vendor to share the team’s requirements, test system functions, and report problems.
  • Prepare, check, and transfer employee information into the new system, taking care to maintain accurate and confidential records.
  • Assist with user acceptance testing and help HR colleagues and employees learn how to use the system after launch.
  • Check the HRIS after implementation, support its routine operation, and refer technical issues to the developer when needed.
  • Keep the employee-letter and contract-renewal tracker current, alerting the HR team to approaching expiry dates.
  • Prepare routine HR documents, including offer, confirmation, and contract-renewal letters, for review and approval.
  • Help with HR filing, data entry, record maintenance, and staff onboarding and offboarding.
  • Take on other reasonable administrative tasks assigned by the HR team.

Requirements & Qualifications

  • Diploma or bachelor’s degree in Human Resource Management from a university in Kenya.
  • At least one year of experience in an HR position or internship.
  • Previous exposure to or use of an HRIS is essential.
  • Strong written and verbal communication, organisation, time management, and interpersonal skills.
  • Ability to adapt to changing priorities and learn unfamiliar systems and processes quickly.
  • Discretion, integrity, and care when handling confidential employee information.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience in a fast-paced workplace is an advantage; exposure to the technology sector is also beneficial.
