Role Overview
Working under the guidance of the People, Culture and Administration Officer, the Human Resource & Admin Intern helps keep the People and Culture Unit’s daily operations organised and responsive. The role supports recruitment, employee records, onboarding and office administration, helping staff and candidates receive accurate information and timely assistance.
Key Responsibilities
- Assist with recruitment from approval through to interview coordination, including preparing job adverts, screening applications, corresponding with candidates and maintaining recruitment records.
- Help new employees complete onboarding and induction by sharing relevant information, documents and guidance.
- Keep staff files and recruitment records accurate, confidential and well organised in physical and electronic systems, including M-Files; scan, label and store documents in line with organisational policies.
- Enter and update HR and administrative data, and help prepare reports, dashboards and presentations using tools such as JetHub and Qlik.
- Prepare HR records for audit activities, checking that documents are complete, current and readily available.
- Draft and distribute staff letters and other administrative correspondence, respond to employee enquiries within service standards, and refer complex matters to the appropriate colleague.
- Provide administrative support for the Volunteer Physician Programme, AFD culture initiatives and employee engagement projects.
- Handle incoming and outgoing office correspondence, help monitor stationery supplies, and track crew card validity and renewals to support operational readiness.
Requirements & Qualifications
- Bachelor’s degree in Human Resource Management, Business Administration, Social Sciences or a related field.
- Proficiency in Microsoft Office and confidence working with digital records and administrative data.
- Clear written and verbal communication skills, with the interpersonal ability to respond tactfully to staff and candidates.
- Sound judgement when handling confidential information, with integrity and discretion.
- Strong organisation, attention to detail and a proactive approach to assigned work.
- Flexibility, reliability and the ability to contribute effectively in a dynamic team.
