Role Overview
This role supports the day-to-day delivery of HR and office administration, from recruitment and employee records to payroll coordination, compliance and workplace logistics. By keeping these processes accurate and well organised, the role helps managers support their teams and provides employees with a responsive point of contact throughout their time with the organisation.
Key Responsibilities
- Coordinate recruitment from vacancy support and candidate communication through selection and hiring; manage new-hire onboarding, including orientation materials, training arrangements with line managers and mentorship planning.
- Maintain accurate, confidential employee files and HR database records, and prepare employment offers, contracts, amendments and termination documents using approved templates and applicable legal requirements.
- Administer employee benefits enrolments, changes and exits; review available benefit schemes and support their implementation in line with organisational needs.
- Work with line managers to develop and communicate KPAs and KPIs, maintain the performance review calendar, support review meetings and track performance improvement plans.
- Coordinate employee exits, including clearance, termination documentation, final dues and exit interviews; manage leave records in the HRMIS and liaise with managers on leave planning and outstanding liability.
- Support employee engagement and relations by coordinating activities and surveys, responding to routine staff queries, and referring matters to the HR Officer or supporting grievance and disciplinary processes in line with policy.
- Compile and verify payroll inputs for assigned companies and submit them to Finance on time; prepare HR reports and presentations, and help draft and implement HR policies and procedures.
- Monitor adherence to applicable labour and statutory requirements, the HR Manual, SOPs and relevant WIBA, licensing, ISO and workplace safety requirements; also coordinate office supplies, assets, facilities, meetings, visitor reception, procurement, office staff supervision and estate correspondence.
Requirements & Qualifications
- Diploma or bachelor’s degree in Human Resources, Business Administration or a related field.
- Membership of IHRM-Kenya.
- Practical capability in recruitment, onboarding, employee records, benefits administration, performance processes, offboarding, payroll coordination and office administration.
- Working knowledge of HR compliance, statutory obligations and applicable labour requirements in Kenya.
- Proficiency in Microsoft Word, Excel and PowerPoint, with experience using HR software, HRIS databases and payroll systems.
- Strong organisation, prioritisation and attention to detail, particularly when handling confidential employee information and documentation.
- Clear written and verbal communication, report-writing and research skills; confidence working professionally with employees and managers across the organisation.
